As an Executive Coordinator, you will provide high-level administrative and organizational support to executives and leadership teams. This role involves managing schedules, coordinating meetings, handling correspondence, helping with reporting, tracking action items, and often assisting with project management. The Executive Coordinator works closely with the executives and leadership teams to ensure smooth operations and effective communication within the organization. The starting salary for this role ranges from $60,000 - $75,000 per year, commensurate with experience.

QUALIFICATIONS:

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum of 2 years’ experience in an administrative role supporting upper management
  • Excellent written and verbal communication skills
  • Strong organizational and problem solving skills and the ability to manage multiple projects simultaneously
  • Strong analytical skills
  • Proficiency in Microsoft Office and other office productivity tools
  • Ability to adapt to changing priorities and work effectively in a fast-paced environment
  • U.S. Citizenship or Lawful Permanent Residency required
  • Successful background investigation completion
  • Local to MN
Responsibilities
  • Scheduling meetings, managing calendars, and ensuring that the executives/leadership teams have the items they need before the meeting
  • Assisting with project coordination, tracking deadlines, and providing necessary support for project completion
  • Handling a range of administrative tasks, such as expense reporting, preparing materials for meetings, processing documentation per OATI standard, routing documents for approval, preparing meeting notes, and maintaining office organization
  • Serving as a liaison between the executives and other departments or external parties
  • Providing support to other team members, as required
