Position Overview
The Executive Coordinator provides high-level administrative support to the Senior Vice President and other senior members of Technology Development & Industry Engagement. This role plays a critical part in advancing St. Jude’s mission by ensuring operational efficiency, coordinating key initiatives, and serving as a trusted liaison between the executive office and internal and external stakeholders. With a strong emphasis on discretion, collaboration, and organizational excellence, the Executive Coordinator helps drive departmental goals that support innovation, partnerships, scientific advancement, and commercialization.
This position is on-site, full-time.

QUALIFICATIONS:

  • Proven experience supporting senior executives in a complex, fast-paced environment.

MINIMUM EDUCATION AND/OR TRAINING:

  • High school diploma/GED required.
  • Bachelor’s degree preferred.

MINIMUM EXPERIENCE:

  • Minimum Requirement: 8+ years experience in administration or related area.
  • Experience Exception: Bachelor’s degree and 2+ years experience in administration or related area.
  • Substantial experience planning/ coordinating events including coordination and vendor management.
  • Substantial experience managing communication with stakeholders including senior leaders.
  • Substantial experience in document management, reporting and analysis.
  • Substantial experience working with office technologies including Microsoft Office (Word/ Excel/ Power point etc.).

SPECIAL SKILLS, KNOWLEDGE AND ABILITIES:

  • Engages with vendor teams based on understanding of vendor management processes and scope.
  • Drives execution of deliverables by vendor teams with an understanding of vendor contracts and escalates suitably.
  • Oversees day to day management of office administration activities, handling any escalations as needed.
  • Manages communication within and outside the function or department, at all levels including senior leaders, leveraging active listening skills and understanding of sensitive issues.
  • Handles routine and non-routine issues with a strong understanding of policies and process of institution, looking to ways to improve efficiency .
  • Demonstrates a good understanding of budget planning and tracking tools & processes as well as related internal policies and procedures related to grants, contracts etc.
  • Tracks, reconciles and reports budget for own area, highlighting any deviations and escalating as needed.
  • Communicates with other teams to drive budgeting processes, collecting information and sharing reports.
Responsibilities
  • Serve as the primary point of contact for the Senior Vice President and other senior members of the department , managing communications, scheduling, travel, and calendar coordination.
  • Assists with internal and external communications, ensuring timely and accurate information flow across departments and with industry partners.
  • Assists with the department’s administrative functions, including budget tracking, expense monitoring, vendor coordination, procurement, and resource management.
  • Support in planning and executing department-wide and institutional events, meetings, and special projects.
  • Assist in the preparation of reports, presentations, and other key documents.
  • Provide operational oversight for departmental recruitment efforts and visiting collaborators, including itinerary development and logistical coordination for visiting candidates and collaborators.
  • Assist with monitor compliance processes and support institutional standards of integrity and accountability.
  • Manage multiple databases that support key functions of the department.
  • Mentor and support junior administrative team members, fostering a collaborative and high-performing team environment.
  • Perform additional duties as needed to support departmental and institutional priorities.
