POSITION SUMMARY

The College of Natural and Applied Sciences (CNAS) spans the entire range of scientific teaching and research, from pure and fundamental discovery that advances our understanding of the world around us to the direct application of science and technology that transforms and improves lives and sustains the environment. CNAS is home to over 14,000 undergraduate students and 3,000 graduate students through the Faculties of Agricultural, Life & Environmental Sciences; Engineering; and Science.
The Executive Coordinator to the Dean and Vice-Provost and General Manager (GM) of the College of Natural and Applied Sciences (CNAS) plays a pivotal role in providing high-level administrative and operational support to the college portfolio.
Reporting to the General Manager, CNAS, the Executive Coordinator works in a fast-paced, dynamic environment and provides comprehensive and integrated coordination, tactical support and advice to the Dean and Vice-Provost, General Manager and assigned Associate Deans and Director(s) within the portfolio.
The Executive Coordinator plays a major and diplomatic role in the confidentiality of the College Dean’s office and, by extension of the Dean, maintains excellent relationships with internal and external counterparts to ensure open communication and effective and efficient planning, scheduling and responses.
The position requires a strong blend of organizational, communication, and problem-solving skills, coupled with the ability to maintain confidentiality and operate with a high level of professionalism.
The ideal candidate will be a highly skilled professional, with several years of senior level administrative experience whose track record demonstrates the following: excellent written and verbal communication skills; judgement and discretion; ability to execute multiple assignments; quickly shift priorities, think outside of the box, be solution focused all whilst being able to work independently and/or collaboratively as the situation dictates.

MINIMUM QUALIFICATIONS

  • Office Administration Diploma (with 7+ years Executive Assistant experience)
  • Experience working in a large, complex and unionized environment
  • Strong organizational and multi-tasking ability
  • Strong leadership and teamwork skills
  • Excellent written and verbal communication skills
  • Ability to track and monitor financial activities
  • Strong MS Office and Google Suite skills

  • Experience supporting executive leadership is considered an asset

Responsibilities
  • Provides tactical support to the Dean/Vice-Provost and General Manager (and other CNAS Directors as assigned)
  • Manages the Dean/Vice-Provost and GM calendars and email inboxes, which include confidential and sensitive information on university initiatives, announcements and preliminary documents going to committees for approval
  • Organizes and/or prepares support materials for meetings involving the strategic direction of the university
  • Monitors, develops and manages ongoing and upcoming items to ensure timely and effective decisions and follow-up
  • Develops and monitors key milestones through flagging systems to ensure milestones and deadlines for key administrative and operational issues are not missed
  • Collection and preparation of confidential, sensitive documentation
  • Acts as the primary liaison between the President, Vice Provost, Vice President offices, Faculty Deans and other senior leadership portfolios/units
  • Manages the administrative coordination for CNAS
