The Office of the President & Vice-Chancellor is currently seeking a Full-time Regular Executive Director & Chief of Staff.
The Executive Director & Chief of Staff in the Office of the President & Vice-Chancellor is responsible for the overall operations of the President’s Office. They serve as a trusted advisor to the President and provide executive and strategic management services to the President, their office, the executive leadership team, and the university more broadly.
Reporting to the AVP, Strategy and Performance, this role initiates and manages a wide range of internal matters of critical importance on behalf of the President. This includes managing, leading, advising, and supporting and coordinating sensitive issues, files, and initiatives, many of which are high profile and require diplomacy and discretion, and may impact the University’s reputation.
Summary of Key Responsibilities (job functions include but are not limited to):
Oversight of the Office of the President
- Responsible for direction and oversight of the administrative, financial, human resources, facilities and planning functions for the Office of the President & Vice-Chancellor. This includes supervising two direct reports and managing the President’s Office operational budget.
- Manage and direct the work of the Office to ensure that the flow of advice, information, briefing material, speaking notes, correspondence and other work is executed efficiently.
- Support the President to manage meetings and committee work on their behalf.
- Attend select meetings with the President to capture notes and next steps and ensure appropriate follow-up actions occur.
Governance & Decision-Making Support
- Lead integrated agenda planning for internal executive and senior leadership committee meetings and retreats, including ELT, ELT-Deans, and SLT. Capture notes, records of decision and ensure follow-up actions occur.
- Provide advice and feedback to the proponents and the President on material and presentations coming forward to these tables.
- Work closely with the Secretariat’s Office and the Provost’s Office, to coordinate and align agenda planning processes that occur across the university (e.g. BoG, GFC, Deans Council) to improve governance and decision-making.
- Develop briefing packages, presentations, speaking notes, and other material as needed for items the President is responsible for through formal governance bodies (BoG, GFC).
- Attend pre-meets with the Board Chair, President and Secretariat to prepare for upcoming BoG and BoG EC meetings.
Operations, Project & Issue Management
- Lead/support additional special projects and strategic initiatives as required. These predominately fall in to one of two categories: a) projects the President directly leads, that need a designated project manager (e.g. secretariat support for committees the President chairs), or b) projects that cross all/many VP portfolios, that need a designated project manager to coordinate actions across portfolios.
- Work with People & Culture portfolio on issues regarding the hiring, performance planning, professional development and other related personnel matters for the executive leadership team.
- Work directly on behalf of the President to manage and resolve a large variety and volume of sensitive and time critical issues.
Leadership & Stakeholder Engagement
- Develops productive working relationships with colleagues at all levels across the university (including students, faculty, staff, unions, etc.).
- Support and attend regular meetings the President has with internal stakeholders, such as SU, GSA, PDAC, AUPE, MaPS, TUCFA. Take notes and track follow-up items.
- Support internal communication and engagement activities.
- Provide leadership to Vice President Offices and the Executive Director community of practice.
QUALIFICATIONS / REQUIREMENTS:
- 7+ years of work experience at a senior management level in a large complex public sector organization.
- A graduate degree in business administration, public policy, or a related discipline or an equivalent combination of education/experience, is preferred.
- Deep appreciation of the mission and role of universities in society and understanding of the
- University’s governance, organizational structure and administrative policies and procedures.
- Knowledge of the post-secondary environment in Alberta.
- Exceptional organizational and project management skills.
- Strong writing skills, and experience developing high-quality briefing material.
- A calm, even and professional demeanor and absolute discretion, integrity and tact, in dealing with a high volume of confidential matters.
- Ability to communicate clearly, appropriately and efficiently.
- Ease in relating with the array of university constituents including board members, faculty members, staff, students, parents, and the public.
- The capacity to adjust work schedules to meet multiple demands and pressures, including availability after business hours and on weekends and holidays, as needed.
- Well-developed teamwork capabilities.
