JOB DESCRIPTION

Responsibilities include, but are not limited to, management of the daily operations & staff of the Adoption Center, coordination of volunteers, oversight of the routine daily care and health maintenance of HSDC animals, oversight of the foster care program including animal adoption duties and events, coordination with the Treasurer/Assistant Treasurer on all financial aspects of HSDC as they relate to the Adoption Center, being available for public events where HSDC animals are present, providing effective communication to the public, veterinary community and to the HSDC Board of Directors through the President or President-Elect. Fundraising and grant writing will also be required of this position. The Executive Director is accountable for driving the goals and mission of the HSDC through the adoption center operations, fundraising activities and interaction with the community.

REQUIREMENTS

  • College degree is strongly preferred, but equivalent work experience with proven results will be considered. Masters degree a plus.
  • 2 to 5 years of proven staff and operations management experience strongly preferred.
  • 1 to 2years work experience directly related to attending to animal shelters, veterinary clinics and/or animal welfare groups is strongly preferred.
  • Non-profit fundraising and/or grant writing experience is a plus.
  • Ability to interact and communicate professionally and positively with the public.
  • Strong knowledge of Google Workspace, Word, Excel, Powerpoint, Access (or equivalent database tool), and Internet (including web site functionality/support).
  • Must be able to adjust work schedule to meet the needs of the Adoption Center. This includes being on call to handle animal and facility related emergencies.
  • Must have the ability to lift up to 50 lbs. and handle animals up to 150 lbs.
  • Must possess a valid NC driver’s license.

Responsibilities
  • Supervise, coach and train staff to perform as expected and carry out the HSDC’s goals & mission. Coordinate schedules based on staffing needs, provide regular feedback on performance, conduct annual performance reviews, and make recommendations on wages.
  • Partner with Animal Intake Coordinator to interview, evaluate and respond to adopters in a professional and timely manner.
  • Partner with volunteer corrdinator, ensuring volunteers are scheduled, provided orientation/training and recognized for their assistance to the organization. This will also include the supervision of court-ordered community service volunteers and reporting of hours worked.
  • Support HSDC fundraising efforts by partnering in the creation of fundraising opportunities and supporting established fundraisers.
  • Promote HSDC and Adoption activities to public and donors, including the solicitation of donations and volunteers to support HSDC adoption events.
  • Partner with the HSDC financial officers or appointees to promptly make deposits and reconcile bills/invoices for payment. Evaluate financial data of adoption center to ensure costs are controlled and make recommendations on spending options or changes.
  • Maintain complete and accurate HSDC Adoption Center records in compliance with the record retention guidelines. This includes, but is not limited to, financial, animal, adoption, volunteer, fundraising and staff documentation.
  • Ensure daily care, examinations and treatments are completed in the required time frames. This includes working with the Animal Intake Coordinator to make sure veterinary care is arranged both on-site and off-site as needed and all animal files are kept current as required.
  • Promote and support public spay/neuter funding and programs, including coordination of spay/neuter clinic transports as approved by the HSDC Board of Directors.
  • Report HSDC Adoption Center results to the HSDC Officers and/or HSDC Board of Directors. Reporting areas include, but not limited to: Animal intake, adoptions, building stats, spay/neuter program results, volunteer participation, inventory, etc. Reporting may be done in writing, via e-mail, and/or at HSDC Membership or Board of Director meetings.
  • Excellent communication verbal, written, and written presentation skills.
  • Excellent analytical skills to make timely adjustments for process/procedures, staff and operations.
  • Excellent organizational and time management skills with the ability to prioritize and plan multiple responsibilities in a fast-paced environment with frequent interruptions.
  • Solid decision-making skills; being able to consider multiple factors and make decisions in the best interest of the animals and organization regardless of personal opinions.
  • Strong leadership, staff management, and coaching skills that can be applied to both paid and unpaid staff.
  • Ability to interact with people of varying backgrounds, personalities, beliefs, etc. Also ability to manage conflict and move issues to quick and effective resolution.
