Description
1) GENERAL DESCRIPTION An executive in Finance Services shall assist the Accountant in performing the functions of financial reporting, budgeting, taxation, intercompany transactions, bank and cash management roles, handle audit queries and other administrative matters. 2) JOB DESCRIPTION Accounting Functions Responsible in making journal entries in the HITS system for preparation of monthly accounts. Assisting the Accountant on the finalization of the monthly financial statements comprising the income statements, balance sheet and trial balance. Responsible to prepare supporting schedules for items in the financial statements. Responsible to ensure the accuracy of the GL balances with the sub-ledgers in the system. Responsible to ensure that intercompany balance reconciliations are prepared on monthly basis, checked and submitted to the Accountant for review. Responsible to ensure that creditors balance reconciliations are prepared by Assistant on monthly basis, checked and submitted to the Accountant for review. Responsible to ensure that the monthly consultant income is prepared by the Assistant, checked and submitted to the Accountant for review. Consultant’s Income Responsible for the preparation of Consultants’ income and monitoring of consultant’s medical bills. Responsible to check of consultants’ charges for inpatient and outpatient bills. Responsible to attend any queries as raised by consultants Responsible to distribute Consultant’s EFT / cheques on the stipulated date. Responsible to prepare Consultant’s Annual Income Statement. Responsible to prepare the payment of monthly Consultant Income and advances (issuing payment voucher and EFT / cheques). Responsible to monitor the consultants’ medical bills (inpatient and outpatient), to do the allocation. Budgetary and Reporting Functions Responsible to draft the monthly financial report together with its supporting schedule for checking by the Accountant. Assisting the Accountant to compile the monthly reports from the other services, such as Human Resource, Nursing and Marketing to be included in the monthly management report for review by the CEO and submission to the holding company. Responsible to assist the Accountant in liaising with the external auditors, internal auditors, tax agents and bankers on related matters as and when required. Responsible to assist Accountant on the compilation of information from other services for purposes of preparing the Annual Budget. Responsible to assist the Accountant in compiling the necessary information required by the tax agent for purposes of statutory income tax filing. Treasury Function Responsible to prepare the monthly bank reconciliation for all Company’s banking accounts are accurate and submit to the Accountant for checking and review. Assist the Accountant to check payment voucher, statutory payment obligation and EFT report and to ensure that the details, amount, payee name are recorded accurately. Responsible to monitor the internal transfer fund transactions. Hold the combination number for the Safe box at Level 1 and Finance office. Cashflows monitoring roles on monthly basis. Other Related Functions Responsible to assist on cash and credit card refund in the absent of Billing staffs. To assist the Accountant to organize quarterly stock count, assist in data entry by end of the count in HITS System. Other special assignments as and when required by the Accountant. To carry out duties as an employee as stipulated in Occupational Safety and Health Act 1994 and Regulations: - To take reasonable care at work for the safety of yourself and other persons; To co-operate with your employer or any other person in the discharge of any duty; To wear or use any protective equipment or clothing provided by the employer; To comply with any instruction or measure on occupational safety and health. Participate actively in any other new service that is introduced by the services. Ensure all policies and procedures of MSQH Hospital Accreditation Standard are adhered to and records maintained, if and when these programs are implemented. Ensure compliance to Patient Safety Goals as safety improvement measures which have been adopted by KPJ. To maintain proper Hand Hygiene at workplace. Ensure adhere to The KPJ Way / Standard People Practice (SPP). Keep abreast with the latest Human Resource knowledge and information. (e.g attended Conference / Seminars). To involve in HIRADC (Hazard Identification, Risk Assessment and Determining Controls) exercise. To involve in EAI (Environmental Aspects and Impacts) exercise. To perform any other duties as and when required / directed by the Chief Executive Office designated by the Company. 3) JOB REQUIREMENT Bachelor’s Degree in Accounting, Finance or related field (professional certifications like ACCA/CPA are an advantage). 1 – 3 years of relevant accounting / finance experience. Knowledge of accounting principles and financial reporting. Familiarity with accounting systems Skills & Competencies: Proficiency in Microsoft Excel, PowerPoint and Word. Analytical Skills – strong attention to details and able to analyze financial data accurately. Communication Skills – good written and verbal communication skills. Responsible, organized, able to meet tight deadlines. Capable of working independently and in a team. Able to supervise and coach subordinates when necessary. Self-driven to gain new knowledge.
