Description

The Executive Administrative Assistant plays a critical hybrid role, providing high-level administrative support to leadership, managing credentialing processes for clinical staff, and assisting with key human resources functions. This position ensures smooth daily operations by maintaining executive schedules, supporting recruitment and onboarding efforts, and overseeing credentialing compliance in accordance with industry standards.

WORK EXPERIENCE REQUIREMENTS:

  • Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field.
  • 3+ years of experience in an administrative support, credentialing, or HR role.
  • Knowledge of healthcare credentialing standards (NCQA, CMS, Joint Commission) is highly desirable.
  • Strong organizational and multitasking abilities with a keen eye for detail.
  • Proficiency in Microsoft Office Suite and HRIS/Credentialing software (e.g., Kronos, Med Trainer, CAQH).
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive and confidential information with professionalism and integrity.

Responsibilities
  • Manage calendars, travel arrangements, and correspondence for senior leadership.
  • Schedule and coordinate meetings, prepare agendas, and record meeting minutes.
  • Handle confidential communications and documents with discretion.
  • Draft reports, presentations, memos, and other executive communications.
  • Managing office inventory and ordering of business supplies.
  • Assist Credentialing Specialist with collecting, verifying, and maintaining up-to-date credentials for medical and clinical staff, including:
  • Ensuring all licenses, certifications, and accreditations are current and compliant with state, federal, and accreditation bodies (e.g., CMS, Joint Commission).
  • Managing credentialing and re-credentialing processes; liaise with external verification organizations.
  • Tracking credential expiration dates and ensure timely renewals and updates in databases
  • Assist in posting job ads, screening candidates, and scheduling interviews.
  • Support onboarding and orientation of new hires, including document collection and system setup.
  • Maintain and update personnel records in HRIS and paper filing systems.
  • Provide administrative support for benefits enrollment and employee relations tasks.
  • Assist with compliance reporting, audits, and general HR policy implementation.
  • Manage staff luncheons and assist with Employee Activity Committee
