Position Summary: The Executive Meetings Coordinator professionally and accurately coordinates the activities of the hotel’s various departments for all Corporate & Association small groups, weddings, social group events, day groups and special events and handle small group events assigned by the Director. This position is a non-salaried, hourly position and must be able to work flexible hours. The Executive Meetings Coordinator will act as a liaison between the client and the hotel staff from planning, through the function to follow-up post departure. This position / individual must contribute to a positive work environment. Pay Rate: The rate of pay listed on job boards are auto-generated numbers. Kiawah Island Golf Resort’s actual rate of pay will be determined during the hiring process. Qualifications: Previous event planning experience with a four star / four diamond or higher rated hotel is required. High school diploma, or equivalent vocational training certificate, required. College degree preferred. Food and Beverage, or Hotel Management experience strongly preferred. Computer training and strong typing skills required. Proficient in Microsoft Word and Excel, Sales Force and catering system will be imperative. Excellent communication skills in English, both verbal and written, required. Excellent telephone, interpersonal and organizational skills required. Must work both independently and in a team environment. Must be able to pass a background check. Expectations & Responsibilities: Follow all directions from the Director of Conferences Services. Assist both the department Administrator and Conference Concierge, as needed. Responding to guest inquiries in a timely manner / same day, if possible. Completes all banquet event orders and resumes in the timelines drawn out by the Director. Plans and meets with clients on planning sites. Plans banquet services and menus, and upsells a variety of services and products. Prepares estimates and contracts and coordinates third-party vendor information as needed. Distributes information to hotel departments via resumes, forms and meetings. Remains on-site during the events. Execute tasks in a timely manner with minimal supervision. Effectively be able to organize information and multitask in fast paced environment. Observe and ensure that the highest standards are maintained at all times. Work cohesively and efficiently with all other departments. Ensure deposits and final payments are received. Guarantee timeliness, cleanliness and follow-up of event through to final payment. Knowledge of local area is preferred to ensure ability to provide proper assistance to guests. Ability to multi task and prioritize assignments is imperative. Must have professional demeanor and have a friendly and positive attitude. Must have strong problem solving skills, attention to details and creativity. Uphold the core values and policies and procedures of the resort. All other duties, as assigned. Essential Physical Requirements: Must be able to lift minimum weight of 20 lbs. across short-medium distances. Must be capable of working consecutive and flexible hours. Must be able to sit / stand for a majority of shift while reaching, bending and stooping as needed. Must be able to work on site due to daily needs of the job requirements.
