We are seeking a highly professional and self-motivated Executive PAAssistant to provide dedicated, strategic support to our General Manager (GM) and Chief Commercial Officer (CCO). In this dynamic role, you will be the organisational cornerstone for two of our key UK leaders, responsible for ensuring their time is optimised and their strategic objectives are supported. While you will report to the Business Support Team Leader, your primary focus will be embedding yourself as an indispensable partner to the GM, the CCO, and their respective teams.

WHAT EXPERIENCE YOU NEED

  • Significant and current experience providing dedicated support to Senior Executives within a fast-paced, corporate environment.
  • Proven expertise in managing complex international travel schedules and processing expense reports.
  • Advanced proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides).

Responsibilities
  • Executive & Calendar Management: Proactively manage and orchestrate the complex and dynamic diaries for the General Manager and Chief Commercial Officer, scheduling internal and external appointments while anticipating conflicts and priorities.
  • Meeting & Event Coordination: Arrange and coordinate all logistical aspects of high-level meetings, from booking venues and distributing agendas to collating presentation materials. You will occasionally attend meetings to capture accurate and confidential minutes, ensuring compliance with GDPR standards.
  • Project & Event Leadership: Take ownership of organising key projects and events, including departmental off-sites, client hospitality, and large-scale internal functions like company Town Halls.
  • Communication & Stakeholder Liaison: Act as the primary gatekeeper for the Executive offices, fielding enquiries from international colleagues, clients, and internal staff with the utmost professionalism and discretion. You will draft and coordinate communications on behalf of the Executives for company-wide distribution.
  • Travel & Expense Management: Seamlessly coordinate all national and international travel, including flights, rail, and accommodation, preparing detailed itineraries in line with company policy. You will manage monthly expense claims and company credit card reconciliation with precision.
  • Administrative Excellence: Provide comprehensive administrative support, including managing confidential documents for authorisation, collating monthly business reports, and offering seamless EA cover for other Executives as required to ensure continuous business support.
