Responsibilities

ABOUT THE ROLE

We’re seeking a highly organized and proactive Executive/Personal Assistant to support the CEO of a South Tampa–based family office with a diverse investment portfolio. This role blends executive-level support (meeting prep, research, HR tasks, reporting) with personal assistance (travel, errands, scheduling) to help the CEO stay focused and effective.

RESPONSIBILITIES

  • Manage and organize professional and personal correspondence (emails, calls, mail, invitations)
  • Maintain and update spreadsheets, reports, and filing systems
  • Research information, prepare recommendations, and create agendas/background materials for meetings
  • Coordinate domestic and international travel; provide detailed itineraries
  • Handle expense processing, credit card reconciliations, and document preparation/editing
  • Organize office, supplies, and vendor schedules; oversee lunch and supply orders as needed
  • Support HR onboarding (forms, systems, new hire coordination)
  • Take meeting notes and convert into clear action items
  • Manage household tasks: errands, appointments, deliveries, vehicle maintenance, and purchasing
  • Plan personal and professional events for the CEO and family
  • Anticipate needs, suggest improvements, and handle special projects
