PURPOSE OF THE ROLE:
To effectively deliver executive secretarial and administrative assistance to the Managing Director and Executive team of Eagle Lighting (Pty) Ltd. This position requires adept management of both internal and external stakeholders, meticulous planning, prioritization and coordination of appointments, confidential information and executive events. Fundamental to this role is the strict adherence to business policies and procedures.
EXECUTIVE PA – DUTIES AND RESPONSIBILITIES
· Manage highly confidential information
· Maintain and organize daily, weekly and monthly calendars
· Prepare variety of documents, including presentations, and reports or packs, correspondence, utilizing Microsoft Word, Excel and PowerPoint
· Assist in drafting and editing written correspondences for external stakeholders, as well as memo’s, emails and reports
· Must be able to document/ take notes/ record minutes within meetings
· Coordinate meetings, refreshments and meals
· Arrange executives travel arrangements and accommodation, whilst ensuring accurate record keeping of the expenses.
· Screen incoming calls, take messages and effectively respond to enquiries or direct calls
· Exceptional communication and time-management skills (must be consistently able to meet deadlines)
· Draft internal announcements, meeting materials and communications
· Respond promptly to emails, texts and calls, even outside the regular working hours (due to global stakeholders and time-differences)
· Meet and greet of the Executives guests courteously, exhibiting professionalism.
· Exercise discretion and sound judgement in handling C-suite matters
· Represent the company and Executive positively through dedication, follow-up’s and courteousness spirit
· Oversee corporate initiatives and events as and when requested
· Develop streamlined processes to enhance and information delivery efficiency
· Supervise Receptionist and cleaning department (cleaners and general worker) always striving to ensure that the organization looks presentable at all times.
