About the Role We are seeking a highly organised and proactive Executive & Personal Assistant to support a business owner managing multiple businesses and a professional racing schedule. This role requires someone who can operate with a high level of discretion, manage competing priorities, and stay ahead of a fast-moving workload. You will play a key role in keeping both business and personal commitments structured, organised, and running smoothly. Successful candidate needs to be trustworthy and is always maintaining confidentiality and professionalism as the role works closely with the director and CEO and you can be privy to sensitive information. Key Responsibilities Manage and organise email inboxes, including prioritising, responding, and flagging key items Coordinate daily schedules, meetings, and appointments across multiple commitments Plan and manage all travel logistics, including flights, accommodation, and itineraries Coordinate and manage racing schedules, events, and related logistics Act as a central point of coordination between the director and internal/external stakeholders Assist with task management, ensuring priorities are tracked and followed through Liaise with team members and ensure communication flows efficiently Handle general personal assistant duties as required About You We are looking for someone who: Is highly organised and detail-oriented Can manage multiple priorities without becoming overwhelmed Is proactive and anticipates needs before being asked Communicates clearly and professionally Works efficiently and follows through on commitments Is adaptable and able to shift priorities quickly Maintains a high level of confidentiality and professionalism Can work collaboratively with team members while also taking ownership of tasks Previous experience as an Executive Assistant, Personal Assistant, or similar role Strong organisational and time management skills Experience managing calendars, travel, and high-volume communication Ability to prioritise and make decisions independently Comfortable working in a fast-paced environment Experienced in Microsoft office as well as Xero Accounting System A dynamic and varied role across business and professional racing environments Exposure to multiple industries and high-level operations Opportunity to work closely with a driven and fast-paced business owner A role where your organisation and efficiency will have a direct impact Opportunity to grow skillset and knowledge base around multiple industries and opportunities
