Job Overview:
A leading Signage & Outdoor Media company in Sharjah is seeking a highly organized and experienced Executive Secretary – Advertising to provide top-level administrative and coordination support to senior management. The ideal candidate will have 5 to 7 years of relevant experience, preferably within the advertising, signage, or media industry.

Key Responsibilities:

  • Manage senior executives’ calendars, appointments, and meeting schedules
  • Draft, proofread, and manage official communications, reports, and presentations
  • Coordinate between internal departments (sales, design, production) and external stakeholders
  • Monitor advertising campaign timelines and signage project progress
  • Maintain organized records, confidential documents, and filing systems
  • Follow up on proposals, quotations, and key project deliverables
  • Arrange travel plans, visa processing, and accommodation bookings
  • Attend meetings, record minutes, and ensure timely follow-up on action items
  • Provide administrative and coordination support to the executive team on daily tasks

Candidate Requirements:

  • 5 to 7 years of proven experience as an Executive Secretary or Personal Assistant
  • Background in advertising, signage, or outdoor media industry strongly preferred
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills in English (Arabic is a plus)
  • Strong time management, multitasking, and organizational abilities
  • High level of professionalism, confidentiality, and attention to detail
  • Bachelor’s degree in Business Administration, Marketing, or a related field
