  • Equipment, Machinery, Tools and Materials Use: Requires the ability to operate, maneuver and/or provide simple but continuous adjustment on equipment, machinery and tools such as a computer, typewriter, calculator, fax and copy machines, dictaphone, and other office machines, and/or materials used in performing essential functions.
  • Verbal Aptitude: Requires the ability to utilize a variety of advisory data and information such as financial statements, reports, applications, requisitions, policies and procedures, statutes, guidelines and non-routine correspondence.

    Qualifications
    Four years of advanced secretarial and administrative support experience in an office environment. Thirty (30) hours of College coursework in Business Administration or a related field may substitute for one year of the required experience. OR an equivalent combination of education, training, and experience.
Responsibilities
  • Manages the Director’s calendar, schedule meetings, and coordinate logistics.
  • Prepares agendas, meeting materials, and official correspondence.
  • Drafts, reviews, and edits reports, memos, and presentations.
  • Maintains confidentiality of sensitive departmental information.
  • Serves as liaison between the Director, City officials, agencies, and community stakeholders.
  • Coordinates and tracks departmental projects and initiatives.
  • Monitors deadlines and follows up on action items.
  • Screens and routes calls, emails, and requests.
  • Organizes and maintains electronic and physical filing systems.
  • Processes and tracks official documents for compliance.
  • Manages payroll submissions, timekeeping, and attendance records.
  • Assists with interoffice HR functions including onboarding, records management, and personnel actions.
  • Supports the Director in strategic planning and public safety initiatives.
  • Facilitates timely communication and information flow.
