We are seeking a highly organized and proactive Executive Secretary to provide comprehensive administrative support to senior management. The ideal candidate will have exceptional skills in handling professional correspondence, managing email communications, and ensuring the smooth flow of information. REQUIREMENTS:

  • Proven experience as an Executive Secretary, Executive Assistant, or similar administrative role.
  • Strong command of written and verbal English; proficiency in drafting formal business correspondence.
  • Excellent email management skills, including prioritization, etiquette, and clarity.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
  • Exceptional organizational skills with the ability to multitask and work under pressure.
  • Strong attention to detail and accuracy in all work.
  • Ability to handle sensitive information with confidentiality.
  • Professional demeanor and excellent interpersonal skills.
  • Diploma or Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.

Responsibilities
  • Manage and prioritize incoming and outgoing emails, ensuring timely responses and accurate communication.
  • Draft, proofread, and format professional correspondence, reports, and documents with a high level of accuracy.
  • Maintain calendars, schedule appointments, and organize meetings, including preparing agendas and minutes.
  • Act as the first point of contact for internal and external communications, handling inquiries with tact and professionalism.
  • Organize and maintain confidential files, records, and documents (both physical and electronic).
  • Track and follow up on pending tasks and commitments to ensure deadlines are met.
  • Assist in preparing presentations, business reports, and official letters.
  • Perform other administrative and clerical duties as assigned.
