We are seeking a highly organized and professional Executive Secretary to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office. Prior experience in an executive support role is preferred.

QUALIFICATIONS & SKILLS:

  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
  • Proven experience as an Executive Secretary, Personal Assistant, or in a similar role.
  • Excellent written and verbal communication skills.

Responsibilities
  • Manage and maintain executive calendars, appointments, meetings, and travel arrangements.
  • Prepare and draft correspondence, reports, presentations, and other documents as required.
  • Screen and prioritize emails, phone calls, and inquiries, ensuring timely responses.
  • Coordinate internal and external meetings, including agendas, minutes, and follow-ups.
  • Handle confidential and sensitive information with discretion.
  • Liaise with internal departments, external partners, and stakeholders on behalf of executives.
  • Organize and maintain filing systems (both electronic and physical).
  • Support executives in daily decision-making by providing timely information and updates.
  • Monitor deadlines, follow up on pending tasks, and ensure smooth workflow.
  • Perform general office duties, including handling office supplies, expense reports, and record keeping.
