We are currently seeking a highly professional and experienced Executive Secretary to provide comprehensive, high-level administrative support to our Chief Executive Officer (CEO) and Vice President (VP). The ideal candidate will be a proactive, organised, and discreet individual capable of managing a demanding workload in a fast-paced environment. This role is critical to ensuring the smooth and efficient operation of our executive office. Responsibilities Manage and maintain the complex and demanding schedules of the CEO and VP, including arranging appointments, meetings, and conferences. Coordinate all aspects of executive travel, including booking flights, accommodation, and ground transportation, and preparing detailed itineraries. Prepare and edit correspondence, communications, presentations, and other documents on behalf of the executives. Act as the primary point of contact between the executives and internal/external stakeholders, screening and directing phone calls and emails. Organise and attend meetings, ensuring the executives are well-prepared; this includes taking minutes, distributing them, and following up on agreed action points. Handle confidential information with the utmost discretion and integrity. Manage executive expenses, process invoices, and assist with budget tracking for the executive office. Conduct research and compile data to prepare documents for review and presentation by executives. Maintain an efficient and organised filing system for both electronic and physical documents. Qualifications Proven experience as an Executive Secretary, Executive Assistant, or in a similar senior administrative role, supporting C-level executives. Exceptional organisational, planning, and time-management skills with a proven ability to multitask and prioritise work. High proficiency in the complete Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Excellent verbal and written communication skills in English; fluency in Arabic is highly advantageous. A high degree of professionalism, discretion, and an understanding of the importance of confidentiality. The ability to work independently, remain calm under pressure, and meet tight deadlines. A proactive approach to problem-solving with strong decision-making capabilities. A bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.
