JOB SUMMARY:

The Executive Secretary to the CEO provides high-level administrative support to the Chief Executive Officer. This role requires exceptional organizational skills, discretion, and the ability to handle complex and confidential information. The Executive Secretary is a key point of contact for both internal and external stakeholders, ensuring smooth and efficient operations of the CEO’s office.

REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Proven experience as an Executive Secretary, Executive Assistant, or similar role supporting C-level executives.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, and multitasking abilities.
  • Proficiency in Microsoft Office Suite and modern communication tools (e.g., Zoom, Teams).
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work under pressure and meet tight deadlines.

PREFERRED SKILLS:

  • Experience in a fast-paced corporate environment.
  • Familiarity with executive-level decision-making processes.

Responsibilities
  • Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
  • Screen and prioritize emails, calls, and other correspondence for the CEO.
  • Prepare agendas, take minutes, and follow up on action items for executive meetings.
  • Draft, proofread, and edit communications, presentations, and reports.
  • Maintain and organize confidential files and records.
  • Serve as a liaison between the CEO and other executives, employees, clients, and external partners.
  • Handle special projects and initiatives as directed by the CEO.
  • Ensure the CEO is well-prepared for meetings, events, and public appearances.
  • Monitor and manage expense reports and office budgets related to the executive office.
  • Uphold a high level of professionalism and confidentiality at all times.
