Executive Support Assoc Analyst is responsible for ensuring the accuracy and timeliness of Executive Support Service (ESS) operational work, acting as a key liaison between the ESS team and supported executives. The role focuses on performance management (KPIs/SLAs), escalation handling, process and tool optimization (including MS tools and travel/expense platforms), quality control, audit readiness, and enabling the team through onboarding, training, and continuous improvement initiatives. Responsibilities Ensure accurate and timely processing of all ESS-related operational tasks; Serve as the primary liaison between ESS leadership/team and supported senior executives; Monitor, analyze, and report SLA/KPI performance; identify trends and improvement opportunities; Lead or coordinate service escalation management, triage, and root-cause resolution; Perform data acquisition, validation, benchmarking, and best-practice comparisons (internal/external).Design, document, and optimize SOPs, workflows, and knowledge bases for ESS operations; Maintain and improve ESS tools and ways of working (e.g., Outlook, Egencia, Concur, Copilot-enabled solutions); Support internal audits and compliance controls; contribute to audit readiness and quality governance; Build and deliver onboarding and training programs; develop learning materials and capability-building sessions; Support internal projects/squads, communication cadence, engagement activities, and ESS events coordination. Qualifications Executive Support Services (or similar operations) experience and strong service mindset; Project coordination / basic project management capability (planning, tracking, action logs); Advanced analytical skills (insight generation, trend analysis, benchmarking); Strong data validation and quality control discipline; KPI/SLA management knowledge (building metrics, monitoring, reporting, continuous improvement); Structured problem-solving and root-cause analysis (handling complex issues independently); Process design and documentation skills (SOPs, workflows, standardization); High attention to detail with strong accuracy standards; Ability to work under pressure and meet deadlines in a fast-moving environment; Proactive, ownership-driven approach; ability to anticipate needs and act without direct instruction; Strong stakeholder management and influencing skills across levels (including executive-level); Excellent written and verbal communication in English; additional languages are a plus; Advanced MS Office skills (especially Excel, PowerPoint, Outlook); Familiarity with ESS tools such as Egencia and Concur (asset); Continuous improvement mindset (identifying opportunities, implementing solutions, knowledge sharing).
