About the role
As Executive Support Officer, you will be responsible for providing high-quality, project, administrative and executive support to the Associate Deputy Vice-Chancellor (ADVC) - Research & Innovation Capability, the Associate Director, Research & Innovation Capability and the Research & Innovation Capability team.
You will be responsible for diary management, responding to email and phone enquiries, meeting and event coordination, committee servicing and minute-taking, travel bookings, entering/tracking documents as per governance requirements, updating reports, communications support, as well as developing and maintaining office processes and documentation.
Additionally, you will contribute to activities that support unit strategic and operational plans, liaising with key stakeholders to provide advice and support for successful events.
Key to success in the role is working effectively with multiple stakeholders, team members and partners at various levels of the organisation and across the Research and Innovation and other Portfolios, acting as the first point of contact for the ADVC, Research & Innovation Capability.

To be successful in this position, you will have:

  • Demonstrated experience in a senior administrative/operations support role within a complex environment in the education sector (advantageous) with the ability to work proactively and autonomously to anticipate needs
  • Highly developed organisational, planning, event and project management skills, with excellent attention to detail and the ability to prioritise and complete tasks with tight timelines
  • Demonstrated experience in providing administrative and logistical support in the organisation and delivery of a range of events
  • Excellent interpersonal and communication skills, with a service excellence mindset, including the ability to draft correspondence of a very high standard to internal and external stakeholders
  • Demonstrated capacity to work independently, show initiative, engage with new ways of thinking and working, exercise discretionary judgement and provide advice
  • Proven ability to establish and maintain strong relationships with a wide range of stakeholders and peers on complex, sensitive and confidential issues, achieving goals and outcomes through networking, collaboration, negotiation and influence
  • Demonstrated high level of information technology proficiency including use of the Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and proficiency in the use of the Sharepoint platform and Adobe Suite. Experience to include email, internet and electronic document management databases and ability to manage filing systems
