Are you an organized and proactive professional with a knack for supporting executive leadership? We are seeking a dedicated Executive Support Specialist to provide high-level administrative support for our executive team. This is an exciting opportunity to play a crucial role in our organization, ensuring smooth operations and effective communication.

Key Responsibilities:

  • Manage our CRM (HubSpot) to keep client and project information up to date.
  • Organize meetings, prepare agendas, and ensure all necessary materials are available for participants.
  • Review previous action items and prepare the team for upcoming discussions.
  • Analyze regional and segment meeting minutes for key action items, decisions, and issues; research additional information as needed and present summaries and proposed solutions to the leadership team.
  • Bring unresolved or critical issues to the executive team’s attention for follow-up or resolution.
  • Support the executive team with confidential matters, such as personnel issues or business strategies, employing a solutions-oriented approach.
  • Act as a liaison with various departments, segments, and managers to ensure proper follow-through on issues and initiatives.
  • Assist in progress on new service delivery initiatives.
  • Answer incoming calls and provide support for sales and service inquiries.
  • Collaborate with third-party partners to schedule calls, joint events, and develop joint content.
  • Provide general administrative support to the executive team as needed.
  • Plan and evaluate event opportunities to enhance our organizational presence.
  • Undertake special projects and additional tasks as assigned.

Requirements:

  • Proficiency in CRM software, preferably HubSpot.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to handle confidential matters with discretion.
  • Problem-solving mindset and ability to work independently.
  • This is a hybrid role, requiring 2 days in office, with the flexibility for more as needed.
