Job Description Executive & Team Lead Reporting to: CEO Salary: Circa £35,000 Role Overview This exciting opportunity places you at the centre of the charity’s day‑to‑day operations, helping to bring clarity, structure, and consistency . You’ll help create a smooth, professional environment where teams can do their best work. The role’s core purpose is to enable confident, efficient organisational operations by providing high‑quality executive support to the CEO and Senior Leadership Team, overseeing daily team and office functions, and ensuring strong information flow across the charity. This position reports directly to the CEO Responsibilities include: Executive & Leadership Support • Provide proactive support to enable clear decision-making. • Manage complex diaries and schedules with awareness of priorities • Coordinate meetings, prepare materials, capture minutes, track actions and anticipate requirements • Act as a trusted coordinator for the Senior Leadership Team and Board. People, Office & Organisational Operations • Lead people processes to support a positive, consistent culture. • Oversee onboarding to ensure new starters feel welcomed and prepared. • Maintain a professional, welcoming office environment. • Define and continuously improve core operational processes. Information Flow & Systems Ownership • Manage the organisation’s Customer Relationship Management system (Donorfy), ensuring accurate and consistent use. • Track actions and key information to support timely collaboration. • Produce reports and summaries to support planning and decisions. • Take a lead role in sharing general organisational information on a regular basis toto maintain alignment. Qualifications Strong background in executive support, office management, or operations. Excellent diary and meeting management in fast‑paced, hybrid environments. Demonstrated efficiency — able to juggle multiple moving parts and deadlines Willingness to take ownership and be responsible for set tasks, activities End‑to‑end meeting coordination, including papers, minutes, and action tracking. Confident in engaging and supporting teams. Managing office processes, including onboarding. Skilled in Customer Relationship Management or similar systems, ensuring accurate organisational data. Able to produce clear, concise reports that support decision‑making. High proficiency with core office software and digital tools. Able to think ahead, spot issues and anticipate what’s needed. Experience working in busy, small, personable organisations with multiple stakeholders (e.g., trustees, office management companies). Additional Information 25 days annual leave (plus one additional day per year of service, up to five years). Discretionary leave between Christmas and New Year.
