Responsibilities

HER RESPONSIBILITIES:

SHE will be responsible for 4 main areas:

  • Events & Conferences – mostly Pan Pacific and Asia
  • Incentive Travel Groups and Extensions – International
  • VIP Program Concierge – High end VIP leisure bookings for rewards program customers
  • Manage contact Centre calls for Prepaid card enquiries

HER ROLE:

  • Assist with coordinating and managing extensive travel logistics for Australian and New Zealand groups, nationally and internationally.
  • Obtaining accurate flight quotes from airline groups, internet and ticketing consolidators.
  • Obtaining information relating to airline routes, arrival and departure times, logistics of flights with ground transfers and hotel check-in.
  • Obtaining flight quotes.
  • Group flight allocation management.
  • Assist with and manage delegate breakaways/split travel arrangements.
  • Using your in-depth knowledge & passion for travel to create FIT and Group tailor-made itineraries to valued clients.
  • Producing and editing travel itineraries.
  • Holding and managing seats with airline groups or direct in CRS system.
  • Confirming the reservations as required and ensuring all bookings are accurate.
  • Entering passenger details, including contact details, frequent flyer numbers and travel requirements.
  • Advising Account Managers of all airfare terms and conditions i.e. when names are required, payment terms, cancellation and change policy.
  • Advising Account Managers if travel visas are required.
  • Assisting with issuance of travel visas (when required).
  • Issuance of travel insurance.
  • Issuing tickets with the airline or through ticketing consolidator.
  • Cross-checking of passenger names and details prior to ticketing, and ensuring all details are correctly printed on travel documentation.
  • Assisting with all aspects of administration including data entry and information into Events Air online registration system.
  • Saving e-tickets onto registration portal and/or company shared drive.
  • Provide flight reporting, as required.
  • Providing customer support and responding to client email enquiries.
  • Ensuring excellent customer service.
  • Handling multiple programs and groups at one time.
  • Managing customer calls to Contact Centre
  • Adhering to Contact Centre Standard Operating Procedures

TO BE SUCCESSFUL IN THIS ROLE, SHE WILL HAVE:

  • Experience working as a group travel
  • Knowledge of fares and ticketing
  • Knowledge & experience working with ticket consolidators beneficial, but not essential
  • Strong GDS experience (Amadeus preferred, but can be other system and training on Amadeus will be provided)
  • Experience in managing large group flight bookings
  • Experience in handling customer calls at Contact Centre
  • Exposure to domestic, international and tailor-made itineraries
  • High level of attention to detail
  • Luxury travel experience will be highly considered
  • Events AIR experience beneficial, but not essential
