REQUIREMENTS

  • Bachelor’s degree in finance, accounting or tax from a reputable post-secondary program;
  • CPM Designation from the National Payroll Institute;
  • Minimum five years of proven experience as a Payroll Specialist or similar role, with a focus on managing payroll operations across multiple jurisdictions and regions;
  • Experience working with international payroll service providers and managing relationships with external vendors;
  • Advanced level working knowledge of Microsoft Office Suite, particularly Excel skills including the ability to generate detailed reports;
  • Strong team spirit with collaborative and collective approach when it comes to “knowledge sharing”, experience working in matrix/complex/fast-paced environments and international settings is required;
  • Committed to life-long learning and professional improvement;
  • Excellent attention to detail and accuracy in processing complex payroll scenarios across different jurisdictions with customer service focused;
  • Strong analytical and problem-solving skills to handle complex payroll calculations and reconciliations;
  • Able to prioritize, adapt, and manage multiple priorities while adhering to strict deadlines;
  • Strong written and verbal communication skills to communicate professionally with both internal and external stakeholders;

Responsibilities
  • Prepare and manage expatriate end-to-end payrolls including associated reporting;
  • Ensure accurate and timely payroll processing, taxable benefits and incentives are recorded and verified, taxes are deducted and remitted appropriately, journal entries balance, and payments are processed on time;
  • Extract timesheets and review work hours for completeness and accuracy ensuring that hours are categorized and allocated to correct cost centers;
  • Prepare semi-monthly/monthly journal entries, reconcile payroll and benefits related to general ledger accounts;
  • Prepare and verify statements of earnings for employees, indicating gross and net earnings and deductions;
  • Research, coordinate, and implement payroll requirements for expatriate payrolls in new employment tax jurisdictions and handle process and system improvements as needed;
  • Coordinate year-end payroll processes, including but not limited to tax reporting, annual statements, and compliance filings for each country that we manage payroll for;
  • Assist the Payroll Manager with developing and implementing payroll policies, procedures and controls to ensure accuracy, compliance, data security and confidentiality;
  • Assist with payroll system enhancements and implementations, upgrades, and integrations to improve efficiency and accuracy;
  • Stay updated with industry best practices and emerging trends in global payroll management;
  • Collaborate with HR and Accounting teams, and external advisors to support global mobility functions and ensure jurisdictional compliance for payroll and benefits;
  • Respond to payroll related employee enquiries and communications and escalate when required;
  • Reconciliation of payroll-related accounts including but not limited to benefits reconciliation, stock options and year-end reconciliations;
  • Assist with internal and external audits and SOX compliance and propose corrective actions;
  • Participate in periodic remuneration surveys, assist in the preparation of payroll budgets and accruals, and oversee the implementation of approved budgets when required;
  • Cross-train payroll team members, focusing on knowledge transfer and professional development, particularly for changes to regulatory requirements and emerging best practices;
  • Act as a backup for Payroll and Benefits Supervisor and Senior Payroll Administrator for vacation coverage;
  • Ensure adherence to all company and payroll-related policies and procedures, and applicable tax laws;
  • Take on ad hoc projects based on business needs; and
  • Perform other duties as required in support of Company objectives.
