Description

We are seeking an experienced Book Keeper (minimum AAT Level 2 or 3 qualified) to join our award-winning business. Aston Marina comprises a large restaurant, beautiful wedding and events venues and inland waterways marina situated in Stone in the heart of Staffordshire.
This role requires 40 hours per week over 5 days to manage the day to day finances of the company.
We require someone with great attention to detail who can evolve with updating digital systems and processes. You will maintain accurate financial records, handle accounts payable and receivable, and ensure our financial processes run smoothly. This hands-on position is ideal for a digitally-minded professional proficient in Xero who is looking for a new challenge in a dynamic environment. Hospitality industry experience is appreciated but not essential – we welcome a proactive candidate eager to learn and make an impact.

REQUIREMENTS

  • Qualifications: AAT Level 2 or 3 qualification (or equivalent) is required. Candidates with higher or other relevant certifications are welcome.
  • Experience: Proven hands-on experience in a similar bookkeeping or accounts role – ideally 2+ years managing day-to-day finances. Experience in the hospitality or retail sector (handling restaurant/hotel accounts) is a plus but not mandatory.
  • Xero Proficiency: Strong proficiency with Xero cloud accounting software is highly preferred. Familiarity with other accounting systems and point-of-sale (EPOS) systems will be advantageous.
  • Digital Skills: Tech-savvy and digitally minded – comfortable using cloud-based accounting tools and MS Excel, with the ability to quickly learn new software or systems.
  • Attention to Detail: Excellent attention to detail and organizational skills, ensuring accuracy in all bookkeeping tasks. You should be diligent in spotting and correcting errors in figures, reconciliations, and reports.
  • Initiative & Teamwork: Ability to work independently and take initiative in solving problems, while also collaborating effectively with colleagues. Strong communication skills are important for working in a small office team and explaining financial information clearly.
  • Additional Skills (Nice-to-Have): Familiarity with hospitality operations or EPOS till systems (e.g. restaurant or hotel management systems) and exposure to stock/inventory management processes are beneficial. Experience reconciling daily cash receipts or handling multi-site accounts would be an advantage in this role.

Responsibilities
  • Maintain financial records. Record and update all day-to-day financial transactions and ledgers accurately (using Xero accounting software).
  • Accounts Payable & Receivable: Process supplier invoices and customer payments, manage accounts payable/receivable workflows, and ensure timely payments and collections.
  • Bank & Cash Reconciliation: Perform regular bank and safe reconciliations and verify that cash balances match actual funds. Reconcile daily sales from the EPOS till system with actual cash and card receipts, investigating any discrepancies.
  • VAT Returns & Reporting: Prepare VAT returns and assist in producing periodic management accounts (monthly/quarterly) to support business decisions.
  • Stock and EPOS Integration: Work closely with our inventory and point-of-sale systems – for example, ensure sales data from the EPOS till is correctly integrated into the accounts and support basic stock accounting as needed.
  • Financial Compliance: Ensure all financial records are kept in compliance with accounting standards and assist with internal audits or year-end preparation as required.
  • Process Improvement: Identify opportunities to streamline bookkeeping processes (e.g. implementing digital tools or more efficient workflows) and contribute to the continuous improvement of the finance function.
