Description

We are looking for an experienced and highly organised Legal Secretary to manage our front office operations and provide essential administrative support to our legal team. This role includes dictation and typing duties, making it ideal for someone with strong audio typing skills and a keen eye for detail. Key Responsibilities:

  • Act as the first point of contact for clients, greeting visitors, and managing incoming calls with professionalism and courtesy
  • Manage appointments, schedule meetings, and maintain the firm’s diary
  • Take dictation from solicitors and accurately type legal documents, correspondence, contracts, and briefs
  • Prepare and format legal documents with precision and efficiency
  • Handle incoming and outgoing mail, emails, and faxes
  • Perform general administrative tasks, including filing, photocopying, and document management
  • Maintain client records and ensure strict confidentiality at all times

Requirements:

  • Minimum of 1-2 years’ experience in a legal secretary, receptionist, or administrative role (experience in a law firm is highly desirable)
  • Proven experience with dictation and audio typing, with excellent typing speed and accuracy (minimum 60 WPM)
  • Strong knowledge of Microsoft Office (Word, Excel, Outlook) and familiarity with case management systems
  • Excellent communication and interpersonal skills, with a professional phone manner
  • High level of accuracy and attention to detail, particularly when preparing legal documents
  • Ability to multitask and prioritise workload in a fast-paced environment
  • Discretion and understanding of the importance of client confidentiality
  • A proactive, team-oriented attitude with the ability to work independently
  • Familiarity with legal terminology and procedures is an advantage
