Our commitment to learning about and respecting one another’s diversity brings distinct richness to the Awty experience for students, alumni, employees, and parents.   Position Summary:  The Experiential Learning Assistant works to ensure the satisfaction and safety of all Awty students and faculty as they embark on various journeys with Experiential Learning throughout the school year. This position is usually 20 hours per week, staff year-round, with additional hours required at peak times during Aug, Sept, Feb, Mar. Additionally, the position will perform clerical duties including supporting travel arrangements, collection of student documentation, preparation of waivers and required forms, and more. The Experiential Learning Assistant will be required to learn and adapt to various software platforms used by the school, such as Blackbaud, Magnus Health, PowerSchool and Schoology. The ideal candidate will be motivated and driven, with the flexibility to adjust to the various scenarios that may arise while overseeing travel for a large population of students and faculty. This position requires discretion as the candidate will have access to private information for both faculty and students.    Required Experience:  * At least 1 year working in a school environment * 4 years Experience with Excel, Google suite and PowerSchool   Preferred Experience:  * Bilingual in English/ French or Spanish * Experience with student supervision, including organization of field trips, school events, and community service projects * Ability to organize, meet deadlines, and create processes for streamlining collection of data   Responsibilities & Duties: * Awty Connects and Fall Trips, Awty’s Experiential Learning Program clerical support including, but not limited to:  * Create Schoology courses with checklists, waivers, security reports, itineraries, and flight information * Creates contact lists * Creating and tracking forms, waivers, passport completion, visas, etc.  * Liaise with parents to ensure proper document collection by stated deadlines * Access Awty’s Magnus Health portal to ensure student safety expectations and needs * Attend all parent meetings * Communicate with parents re: trip details and deadlines  * Produce Google Sheet reports to share with Finance to track and budget appropriately * Field Trips & Club Travel clerical support including, but not limited to:  * Make waivers with risks noted * Send waivers to families * Check for waiver completion * Help with organization of transportation * Input excused absences into Powerschool * Input information into Magnus Health Portal for all student safety and health alerts * Community Service clerical support including, but not limited to:  * Track student hours * Award credit to students * Assist with awards for students who completed hours of service * Additional Duties as assigned   TO APPLY: Submit your application through the school's website [https://www.awty.org/about/employment].  All applicants should include a cover letter, current résumé and three professional references (including your most recent direct supervisor).    Direct inquiries (cover letter, CV, references) to Kristine Cigdemoglu, Director of Experiential Learning, kcigdemoglu@awty.org [kcigdemoglu@awty.org].    The Awty International School does not discriminate on the basis of race, color, religion, sex, sexual orientation, age, national origin, ethnic or religious beliefs, disability, or any other basis protected by federal, state, or local law in the administration of its educational policies, admissions policies, scholarship, and athletic and other school-administered programs or in its employment practices. Responsibilities
The Experiential Learning Assistant provides clerical support for school trips, community service programs, and student safety documentation. They manage travel logistics, maintain student health and safety records, and coordinate with parents and staff to ensure program deadlines are met.
