Job Description We are currently recruiting for the fulltime position of Export Contracts & Documentation Officer based in our office in Abbotsford. This position will work with internal and external stakeholders to ensure timely and accurate production of export bulk and container shipment documentation. Key responsibilities will be but not limited to: Manage all export bulk operations such as accepting vessel nominations, appointments for ship agent, superintendent and Fumigation company, creating VNA entries in BHC systems and export documentation. Prepare and finalise laytime calculations for both FOB and CFR shipments with buyers and owners. Co-ordinate all export container shipments from load point onwards including liaising with traders, customers, communication with freight forwarders/shipping companies, packing houses, transport operators, banks, superintendents, and Government departments. Raising RFP/EDN and COO inhouse using ImpexDocs software program. Prepare and process export documentation in accordance with customer requirements, importing country requirements and government regulations including Letters of Credit. Monitor timelines for document submission and shipping to meet both customer and regulatory deadlines. Co-ordination of CFR and DCT container packing with packers to fulfil contractual requirements. Following up with suppliers and packing houses to ensure shipments are on track. Assist with day-to-day export administration and problem resolution. Sound knowledge of DAFF’s Manual of Importing Country Requirements (Micor). Raising orders, tickets and settlements in our internal system. Maintain customer accounts, credit limits and processing of invoices Qualifications Preferred Skills, Qualifications and Experience: Demonstrated working experience of 2-3 years in a similar role within export industry. Knowledge and experience of international trade regulations and export documentation procedures. Experience in the bulk commodity and/or container export industry. Exceptional organisational abilities with high attention to detail. Excellent verbal and written communication skills to interact effectively with employees, customers and third parties. Ability to work within team environment with a proactive approach to problem-solving. Intermediate knowledge of Microsoft Office suite. Grains Industry (preferred).
