GENERAL DESCRIPTION: This position provides customer order management and fulfillment from customer order entry, expediting and prioritizing customer orders, and documentation for those orders. This role coordinates the export process of the company’s products. The primary responsibility is to ensure timely and efficient shipment of goods while complying with all relevant regulations and documentation requirements for international markets.

Responsibilities

ESSENTIAL DUTIES / RESPONSIBILITIES / FUNCTIONS:

· Functions as the subject matter expert on customer order management and fulfillment
· Allocates products for shipments, builds shipments in the system, provides shipping instructions to the shipping department and generates pick lists for the warehouse
· Generate and compile all shipping and export documentation. Maintains current revision of export documents work instructions
· Processes “special circumstances” shipments as needed including but not limited to: US Distribution Centers, Dot Com requests, Rally events, and priority air shipments
· Tracks shipments.
· Prepare all required documents using Word, Excel, and e-mail
· Prepare all documents for foreign countries in English and save to required drive locations
· Identifies potential export compliance risks and notifies management of those risks
· Continually formulates, develops, implements and evaluates export processes to maintain compliance and efficiency as well as assures customer orders are processed and shipped in a timely manner
· Complete all export documentation for shipments in a timely manner and inform management of any changes required in the format of those documents
· Oversees Change Control on the modification to foreign export documentation, Global Database spreadsheets, SOP’s and all other documents in the Order Management & Fulfillment Department
· Processes “special circumstances” shipments as needed
· Imputes all data for insurance values into a spreadsheet
· Scans all final documents onto AVA shared drive sorted per country and by year
· Complies with and enforces company policies and procedures
· Remains calm and pleasant in handling all problems, complaints and any constructive criticism
· Prepare all required documents using Word, Excel and e-mail
· Prepares all documents for foreign countries in English
· Attends meetings requested and conference calls as necessary
· Works efficiently to meet all deadlines and responds timely to all requests
· Works cooperatively with co-workers and supervisors
· Maintains regular and punctual attendance at work
· All other duties as assigned

QUALIFICATIONS & SKILLS REQUIRED TO PERFORM JOB DUTIES:

· Detailed-oriented and able to produce an accurate and timely work product
· Good verbal communication skills with a calm and pleasant demeanor
· Knowledge of basic office procedures and ability to operate office equipment including copy machine, telephone, and PC
· Ability to speak a foreign language is a plus
· Working knowledge of national and international import/export procedures including U.S. export and customs policies and export regulations
· Ability to multi-task and complete assignments accurately in a timely manner
· Effective and efficient organizational skills and ability
· Strong initiative and accountability, follow-up and follow-through
· Consistently friendly and helpful with excellent phone etiquette
· Calmly, effectively, politely and professionally handle complaints, problems
· Proficient in MS Office programs including Word, Excel and OneNote
· Able to read, write and speak English as all documents are prepared in English.

PHYSICAL REQUIREMENTS TO PERFORM JOB DUTIES:

· Able to stand/remain upright about 2 – 3 hours at a time
· Sit for long periods, up to 4 hours at a time
· Use keyboard, computer, mouse and telephone daily
· Sit, stand, reach forward and overhead, kneel, twist, turn and bend
· Lift and carry boxes with product samples to waist height up to 40 lbs., when needed

EDUCATION AND/OR EXPERIENCE REQUIRED TO PERFORM JOB DUTIES:

· High School diploma or GED required
· Bachelor’s Degree Preferred
· 1+ years of work experience in Customer Service, Order Management, Order fulfillment, International Shipping, Exports or Documentation preferred
