Responsibilities

JOB PURPOSE:

The Export Order Book Coordinator is responsible for the accurate and efficient coordination of international customer orders, ensuring timely processing, fulfilment, and shipment of goods while maintaining compliance with export regulations and company policies. This role is pivotal in maintaining customer satisfaction through effective order book management and proactive communication with internal and external stakeholders.

KEY RESPONSIBILITIES:

  • Manage and maintain the export order book, ensuring all customer orders are accurately entered, tracked, and updated in the system.
  • Liaise with purchasing, warehouse, and delivery partners to ensure on-time availability and dispatch of export orders.
  • Monitor stock availability and liaise with demand planning or buying teams to ensure timely replenishment of stock.
  • Communicate with international customers regarding order status, lead times, and any issues affecting delivery.
  • Ensure documentation is correctly prepared for customs and shipping, including invoices, packing lists, certificates of origin, and export declarations.
  • Monitor stock levels and production schedules to identify potential delays or conflicts in order fulfilment.
  • Coordinate with freight forwarders, delivery partners and shipping agents to book and track international shipments.
  • Maintain accurate records and reports on order status, backlogs, and performance KPIs.
  • Assist in resolving discrepancies and managing returns or claims related to export orders.
  • Support seasonal peaks by proactively managing lead times, customer expectations and order prioritisation.
  • Continuously seek ways to improve order management processes and customer experience.
