As the EXT Unit Project (Sales) Coordinator for Cardio-Renal-Metabolism (CRM), you will support our Field Force team with a range of practical and administrative tasks. These include working with vendors, using internal systems to create purchase orders and track invoices, registration of events, and keeping CRM data up to date. You will also work closely with venues and external partners to arrange meetings, order lunch, and handle other logistics.

Responsibilities
  • Provide logistic and administrative support for internal and external meetings / congresses, including venue & catering coordination.
  • Create, release, print, and/or send invitations using systems such as Canva/Vault/Arvato).
  • Create registration links in our attendance tool for organized events.
  • Ensure an accurate and clear financial overview: maintain overviews of invoices, create purchase orders (WeBuy), commitments, and planned activities; regularly share updates with budget owners.
  • Be in contact with internal colleagues from several departments, such as field force, finance, procurement, marketing.
  • Maintain and update records in Veeva CRM: add missing service providers, upload relevant documents (quotes and invoices) and close events. Add hospitality details to events for transparency register CGR.
  • Provide support in coordinating conferences from salesteam: in collaboration with Regional Account Managers (RAMs) liaise with the vendor for stand placement, etc.
  • Manage consent processing and ensure documentation.
  • Manage facility-related tasks, such as stock management and ordering of materials.Requesting accreditation from various professional associations for our educational courses, coordinating the corresponding invoicing process and communicating the progress within the team.
