Job Summary The Facilities Administrator assists the Facility Maintenance Manager, Facility Maintenance Specialists and Operations Maintenance Technicians with the day-to-day operation of the maintenance department by performing specialized maintenance tasks such as completing and processing work order and purchase order forms through multiple systems, interacting with current vendors and sourcing new vendors when necessary, providing customized reports from the Computerized Maintenance Management System (CMMS), monitoring part inventory and organization including physical movement of parts, maintaining spending- and safety-related documentation in accordance to retention policies and procedures, as well as common office tasks such as filing, copying, and answering the phone. What you will be doing: Manage facility vendors on-site and secure a compliant and SLA conform execution of work Act as point of contact for staff seeking facilities assistance, logging and monitoring reactive maintenance requests, and ensuring timely resolution Complete contract and purchase order forms for management approval, follow up on delivery and receipt of goods and services and interact with vendors to resolve deficiencies through in-person, phone and email communication Oversee workflow processes, data entry and retrieval of information via reports and customized queries through the Computerized Maintenance Management System (CMMS) Conduct regular walkthroughs of the facility to identify maintenance issues, safety hazards, or cleaning needs Research and investigate best pricing and quality options for goods and services based on departmental needs and criticality Assist with monitoring facilities budgets, tracking expenditures, and preparing reports for management; maintain contract, spending, and safety related document files required and record retention policies and procedures Train and orient new maintenance personnel at the domiciled location What do you bring with you: Relevant technical education related to facility management or similar Minimum 2 years of experience in a similar facilities, property management, or administrative role Strong organizational and multitasking abilities, with high attention to detail Strong understanding of facility maintenance processes, tools, and policies Familiarity with CMMS (Computerized Maintenance Management Systems) Experience in MS Office products (especially Excel) Knowledge of safety regulations and standards Fluent German and good English language skills What do we offer: Attractive compensation package An employer-funded company pension plan Training to get you started and on-the-job learning opportunities Extensive learning resources to further develop your skills and knowledge Tuition Assistance Program (*applicable for FedEx positions with a permanent contract) Employee Assistance Program for you and your family in difficult life situations Employee reduced-rate shipping FedEx was built on a philosophy that puts people first, one we take seriously.
