What You'll Do We’re seeking a Facilities Administrator who thrives in a professional environment and loves providing exceptional customer service to both internal and external stakeholders. In this permanent full-time role, you will primarily involve processing International Driver’s Permits (Licenses) (IDPs) and ensuring efficient distribution to our customers. As a key member of our concierge team, you will also be the friendly face of welcoming and assisting our customers and employees at front reception, handing telephone enquiries, and performing a range of administrative tasks as required. Your responsibilities will include, but are not limited to: Process IDP including creating, logging and accurately recording permit numbers in the AAA portal Assist IDP customers on-site, manage returned permits, and coordinate with the mailroom and the Permits team at our Gosford office for re-mailing and troubleshooting Monitor and maintain IDP consumables and escalate replenishment needs as required Track daily processing volumes, customer enquiries, and escalations, providing regular updates to the Product Owner Cover reception and mail room duties as required, answering phones, greeting visitors and assisting employees and customers to ensure a seamless service for everyone who walks through our doors Complete ad hoc administrative tasks, support the team as required Handle sensitive customer data with care and uphold privacy standards. What You'll Bring Experience in customer service, administration, or reception roles Strong attention to detail and confidence using data entry systems or customer portals Ability to work autonomously and manage daily responsibilities with minimal supervision Top-notch communication skills—in person, on the phone, and via email A proactive, reliable, and solution-focused mindset A team player who’s happy to pitch in across different functions (reception, mailroom and permits) wherever needed and always ready with a smile.
