Description Facilities & Fleet Coordinator Job Type: Part-Time Pay: $22.00 per hour Locations: South Elgin Clubhouse (SECH) & Elgin Clubhouse (ECH) Compensation: Eligible for mileage reimbursement Reports To: Director of Safety & Facilities Supervises: Custodian, Fleet Assistant Job Overview: The Facilities & Fleet Coordinator is responsible for maintaining the organization's fleet and clubhouse facilities across our South Elgin and Elgin locations. This role oversees vehicle readiness, performs hands-on building maintenance, and provides direct supervision to the Custodian and Fleet Assistant. To be successful in this role, the Facilities & Fleet Coordinator must demonstrate working knowledge of building systems, vehicle maintenance, and the ability to lead a small team across two sites. Key Responsibilities: Fleet Management: • Conduct monthly comprehensive vehicle inspections across both sites and review overall fleet conditions. • Ensure all vehicles comply with Illinois safety regulations and standards. • Maintain records of vehicle maintenance, repairs, and inspections. • Ensure timely registration, insurance, and documentation for all vehicles. • Oversee vehicle cleanliness standards across both sites. Van Certification Support: • Collaborate with HR to support the process of training and certifying staff as authorized van drivers. • Help manage the certification process to ensure employees meet all necessary requirements. Building Maintenance: • Perform routine maintenance and repairs of both clubhouse facilities and coordinate with external contractors when work is outside the scope of in-house maintenance. • Conduct regular walkthroughs to identify facility issues and ensure buildings meet safety and operational standards. • Manage and track facility maintenance requests through the organization's ticketing system, ensuring work orders are documented and updated. Supervision: • Provide day-to-day direction and oversight to the Custodian and Fleet Assistant. • Coordinate work assignments and coverage schedules across the South Elgin and Elgin locations. • Serve as the first point of escalation for facility or fleet issues raised by the Custodian or Fleet Assistant. Additional Responsibilities: • Complete additional facilities, fleet, or supervisory tasks as assigned by the Director of Safety & Facilities Travel: • Regular travel between the South Elgin Clubhouse (SECH) and Elgin Clubhouse (ECH) for facility and fleet maintenance. • Occasional travel for other job-related tasks as needed. Requirements Qualifications: • Valid driver's license and clean driving record • Must be at least 21 years of age[NP1.1][MH1.2] • Authorized to work in the United States • Ability to pass a background check and fingerprinting • Willing and eligible to complete training to drive a 12 to 15-passenger van • Knowledge of building maintenance and repair work • Prior supervisory or lead experience preferred • Ability to work independently and prioritize tasks efficiently • Strong communication skills and a commitment to safety standards • Flexibility to travel between locations as required • Ability to perform physical tasks throughout facilities, stand for extended periods, and lift up to 50 pounds • Experience maintaining and inspecting transportation vehicles a plus • DOT knowledge a plus
