Purpose of the Role BGIS is seeking a proactive Facilities Coordinator to manage day-to-day operations at a high-profile corporate site in Sydney. Reporting directly to the Account Manager, this is an on-site, client-facing role where you will act as the central point of contact for facilities operations, ensuring smooth and efficient service delivery. This is a full-time permanent role with the potential to extend and is strongly encouraged for internal candidates seeking a growth opportunity. The ideal candidate will possess excellent communication skills, a strong administrative background, and the confidence to liaise with a variety of stakeholders. Key Responsibilities - Act as the first point of contact for all facility-related enquiries from internal and external stakeholders. - Manage and delegate maintenance requests, track KPIs, and ensure timely completion of work orders in the CMMS. - Support the Facilities and Account Managers with procurement, invoice reconciliation, and budgeting tasks. - Maintain compliance with safety and environmental policies and manage contractor performance. - Contribute to monthly reporting and ensure documentation is accurately maintained. - Full ownership of planned preventative maintenance process from start to finish. - Maintain accurate documentation and support the preparation of monthly and quarterly reports, ensuring all records are up-to-date. Education, Experience & Skills Essential: - Experience in facilities coordination or corporate property services. - Strong computer skills, including CMMS, Microsoft Office (Excel, Outlook, Word). - High-level communication and stakeholder management skills. - Sound financial acumen and an understanding of compliance frameworks. Desirable: - Knowledge of subcontractor scoping, tendering, and service contract management. - First Aid Certificate and/or qualifications in facilities or building management. - Flexibility to multitask and adapt in a fast-paced, client-driven environment.
