REQUIRED QUALIFICATIONS*

  • Bachelor’s degree or at least 3 years of demonstrated success in coordinating daily operations of complex facilities, or an equivalent combination of education and experience
  • Proactive customer service and communication, the ability to successfully interact with a diverse set of building occupants
  • Training or direct experience in safety response and coordination
  • Ability to perform a wide range of physical activities that may include moving and transporting objects; assuming postures to access equipment, and manual dexterity movements

Responsibilities

RESPONSIBILITIES*

The Facilities Coordinator/ Manager handles the coordination and management for several Michigan Engineering buildings. The exact number and size of facilities could vary, depending on facility/occupant needs and facility location. The position reports through the CoE Facilities Management Office and requires regular communication and coordination with representatives of each group occupying space within assigned buildings.

Facilities Support and Coordination

  • Submit work orders and coordinate maintenance and custodial needs for several buildings housing multiple academic departments and other college units
  • Coordinate with department representatives and other facilities staff for operational tasks, including, but not limited to:
  • Access control - key requisitions, rekeying, card access
  • Signage
  • Moving coordination, including furniture and property surplus management
  • Services outages - planned and unplanned
  • Complete daily classroom inspections/ walkthroughs to ensure that they are outfitted with supplies (ie. markers, erasers, PPE, etc.)
  • Coordinate with College leadership and other facilities professionals at both the College and the University to ensure that consistent support is provided to building occupants and codes, standards, and best practices are commonly understood followed
  • Provide event support as needed

Relationship Building/ Customer Service

  • Serve as the primary point of contact for units occupying a building to ensure that unit needs are met and communication is open and transparent
  • Build and maintain relationships with unit/departmental staff and faculty to help anticipate and address various facility-related needs and facilitate open communication
  • Communicate and coordinate with the appropriate lab managers and other lab personnel to support building related issues or service interruptions

Safety and Incident Response

  • Assist with the coordination of Emergency Response Teams (ERT)
  • Coordinate with Environmental, Health and Safety (EHS) and facilities safety team to ensure compliance with codes, compliance standards, and best practices
  • Serve as primary building safety coordinator for assigned buildings. Emergency coordination responsibilities may include responding outside of routine business hours, including evenings and weekends. Response could be via phone or in person, depending on incident needs
  • Coordinate with the FMO Safety Manager on all safety concerns and provide facilities support as needed

Space Management Support

  • Annual Space Survey - Support survey effort by assisting departmental leadership as directed (e.g., documenting room occupants, grant activity, room uses, completing data entry, etc.)
  • Partner with college and departmental staff, as needed, to help move forward space-related goals and initiatives

Other

  • Engage with other facilities personnel to collaborate and improve operations at Michigan Engineering. This may include participating in special projects and committees
  • Provide back-up coverage for the facilities team and receive other assignments as needed to support the overall mission of Michigan Engineering. This includes periodic support for facilities that are in other locations in the greater Ann Arbor region
