Position Title: Facilities Coordinator
Location: Concord, California
Reports to: COO
Classification: Non-Exempt (Hourly)
Pay Range: $26–$32/hour or $54,000–$65,000 annually

POSITION SUMMARY

The Facilities Coordinator at Summit Building Services, Inc. is responsible for overseeing building maintenance, fleet operations, and safety compliance. This role ensures efficient facility operations through effective documentation, accurate documentation, and adherence to company and regulatory standards. The position supports organizational goals by monitoring KPIs, maintaining records, and driving client satisfaction in alignment with CIMS (Cleaning Industry Management Standard).

QUALIFICATIONS

  • 2–4 years of experience in facilities, building maintenance, janitorial, or fleet operations.
  • Strong knowledge of safety standards, inspections, and compliance requirements.
  • Ability to manage budgets, inventory, and reporting systems.
  • Strong organizational and problem-solving skills.
  • Effective communicator with the ability to coach, train, and lead small teams.
  • Proficiency in Microsoft Office Suite and facility management systems preferred.

Responsibilities
  • Team Supervision & Oversight
  • Lead, schedule, collaborate with small teams of building maintenance, fleet, or safety staff.
  • Ensure staff adhere to company policies, procedures, and safety protocols.
  • Provide coaching, training, and performance feedback to team members.
  • Documentation & Compliance
  • Maintain accurate records of budgets, inspections, and training activities.
  • Ensure compliance with OSHA, state, and company safety standards.
  • Support and understand CIMS compliance through consistent documentation practices.
  • Operational Support
  • Oversee day-to-day facility operations including repairs, inspections, and fleet management.
  • Assist in managing vendor relationships and contractor performance.
  • Support preventive maintenance schedules and inventory tracking.
  • Reporting & KPIs
  • Track and report on facility performance metrics, including:
  • Inventory accuracy
  • Safety compliance
  • Client satisfaction
  • Schedule maintenance
  • Provide regular updates to management with recommendations for improvements.
  • Client & Stakeholder Engagement
  • Serve as the point of contact for internal teams and external clients regarding facility concerns.
  • Ensure high levels of customer service and timely issue resolution.
