Description DEPARTMENT: Administration ACCOUNTABILITY: Reports to Office Manager STATUS: Nonexempt, Part-time - Onsite schedule JOB SUMMARY The Facility Coordinator helps ensure the building and grounds operate efficiently and remain well organized. This position supports daily activities by preparing meeting spaces, performing basic maintenance, managing supplies, and assisting with overall facility upkeep. DUTIES AND RESPONSIBILITIES Essential Functions Facilities & Maintenance Coordination · Serve as the main point of contact for facility-related needs during scheduled work hours. · Coordinate / Oversee routine maintenance, repairs, and inspections. · Conduct regular walk-throughs to identify maintenance or safety concerns. · Support preventive maintenance tasks and monitor building systems. · Provide Support with both indoor and outdoor building/ground maintenance as needed. · Gathers and transports all recycling materials to appropriate disposal location. Vendor & Contractor Support · Help schedule and oversee work performed by vendors and service providers. · Track and document vendor visits, service reports, and invoices. · Assist Office Manager to obtain quotes for small repairs, supplies, or equipment as needed. Safety & Compliance · Assist with maintaining compliance with safety protocols, emergency procedures, and accessibility standards. · Conduct basic safety checks (extinguishers, exits, signage) and report issues. Inventory & Supplies · Manage inventory of facilities and office supplies, restocking as needed. · Organize storage areas and monitor supply levels. · Assist with setup, moving, or arranging office furniture and program materials. Space Planning & Event Support · Help set up rooms for meetings, trainings, or community programs. · Monitor and maintain tidiness of shared spaces and common areas. · Assist with small office moves or workstation setups. Administrative Tasks · Communicate with staff regarding repairs, closures, or facility updates. · Provides front desk / mail coverage as needed · Other duties as assigned Requirements EDUCATION, EXPERIENCE AND SKILL REQUIREMENTS Education: · High School Diploma. · College or additional training preferred. Knowledge and Experience: · Work experience as a Facilities Coordinator or similar role preferred. Skills: · Interpersonal communication skills. · Well-organized and detail-oriented · Proficient computer skills · Problem-solving skills. · Ability to follow instructions and to work independently. · Knowledge of tools, equipment, techniques, skills, materials, with ability to determine the kind of tools and equipment needed to do a job/task. · Ability to safely operate a push mower, weed-eater, hedge trimmers, blower, and basic hand and power tools. · Ability to read, understand, and utilize instructional and technical manuals · Basic working knowledge of HVAC, plumbing, and electrical systems. · Basic working knowledge of office machinery and equipment, such as copiers, printers, shredders, etc. · Ability to work in a safe and efficient manner.
