Provides daily administrative support, maintains the central calendar, and schedules appointments for the VP of Facilities & Operations.
Prepares the VP of Facilities & Operations Board report (assists with writing the report and collecting data/information from other sources).
Prepare documents for presentations throughout the year.
Provides excellent customer service skills and maintains a professional attitude while handling all incoming and outgoing callsto members, vendors, and property managers.
Clerical liaison and/or staff support the construction committee & subcommittees. Coordinates with committee chairs as needed, prepares meeting notices, sends out notifications via US mail, email, and telephone calls, prepares agendas, attends meetings, and transcribes meeting minutes.
Assist with general administrative functions that include but are not limited to performing administrative/clerical tasks for various departments: filing, billing, accounts payable, monthly repo1i preparation, and data entry. Ensure and maintain the common areas and place supply orders.
Perform various other duties and activities as assigned by the supervisor or manager within the physical constraints of the job. Perform various general administrative and clerical functions consisting of word processing functions.
Assist the HomeServices Manager with weekly invoicing. Provides support with monthly and yearly reporting assignments for the HomeServices Department. Generates graphs, charts, and diagrams to illustrate data analysis for HomeServices tracking.
Assist the ARB Construction Administrator with the ARB application & fee process, ARB member orientation, data entry, and developing presentations.
Ability to learn, understand, and comply with all safety rules and company policies.
