Description

Reporting to the Senior Director, Facilities, the Facilities Maintenance Coordinator is responsible for overseeing the administration of facility related tasks. This role involves coordinating maintenance schedules, placing orders, releasing supplier payments, and ensuring compliance with regulations. The Coordinator plays a vital role in streamlining operations and maintaining documentation for effective facility management.

  • Administers the preventative maintenance program, including the capture and prioritization of corrective maintenance requests.
  • In conjunction with the Maintenance Supervisor, develops and organizes work schedules and assigns work activities to team members.
  • Review requisitions and purchase orders for accuracy, completeness, and compliance with company policies, procedures, and best practices.
  • Track incoming Invoices for appropriate approvals and receiving for payment processing.
  • Preparations of requisitions for the approval of Purchase Orders to vendors and suppliers.
  • Supplier Management and coordination with billing services.
  • Provides high quality customer service, ensuring attention to detail and responsiveness.
  • Resolve issues and discrepancies in a timely and professional manner working with internal divisions and external suppliers.
  • Post-secondary degree or diploma in a related field
  • 2-5 years of professional experience
  • Experience in commercial or residential building facility maintenance considered a strong asset
  • Experience using a Computerized Maintenance Management System considered a strong asset
  • Proficiency with Microsoft Office suite
  • Detail oriented with strong customer focus orientation, sense of urgency, and quality of work
  • Proactive with a continuous improvement mindset
  • Strong communication and collaboration skills
