PERSON SPECIFICATION - FACILITIES / OFFICE MANAGER:

We are seeking an outgoing customer focused individual to work alongside our General Manager to run our stand-alone centre as a small business. The successful candidate will, first and foremost, be an exceptional manager, communicator and organiser who enjoys interacting with people from all walks of life in a professional but relaxed manner.

Responsibilities

OVERVIEW OF THE ROLE - FACILITIES / OFFICE MANAGER:

To assist the General Manager with the overall management of the business centre and the day-to-day running of the conference, co-working and reception facilities within the building and ensuring a high level of customer service at all times.

KEY RESPONSIBILITIES - FACILITIES / OFFICE MANAGER:

  • Managing customer relationships and ensuring high levels of customer satisfaction.
  • Negotiation of office contracts with new and existing customers.
  • Maintaining the physical condition of the centre and ensuring a safe and welcoming working environment.
  • Facilities management.
  • Preparing monthly customer invoices, cash collection and cost analysis.
  • Driving sales by creating business opportunities for office space, virtual offices, co-working and meeting rooms.
  • Preparation of sales analysis and financial reports.
  • Managing suppliers, including raising purchase orders and processing payments.
  • Dealing with commercial agents and brokers, responding to enquiries and conducting viewings and meetings with potential clients.
  • Management of Health and Safety and compliance with regulations.
  • Line manage and develop the Reception Team.
  • Cover for the Receptionist during absences.
  • Any other tasks required in the running of the business centre.
