Description

The APS 4 Facilities Officer provides assistance in the daily coordination of facilities services across the Museum’s owned and leased buildings. This includes support for cleaning, accommodation logistics, basic maintenance tracking and coordination of external service providers.
Working under the direction of the Facilities Manager, the role assists with contractor onboarding and compliance recordkeeping, facilitates routine service delivery tasks and escalates non-routine issues to senior staff as required. The position is expected to communicate effectively with service providers and internal stakeholders, maintain accurate documentation and contribute to the safe and efficient functioning of the Museum’s physical environment.

KEY ACCOUNTABILITIES

  • Support the administration of day-to-day facilities services including cleaning, grounds, accommodation moves and basic maintenance.
  • Coordinate and maintain records for contractor inductions, licences, and WHS documentation.
  • Assist with service request tracking, incident reporting and routine follow-up with providers.
  • Liaise with staff and external providers to communicate scheduling and access requirements.
  • Maintain documentation in support of contract management and procurement activities.
  • Provide accurate and timely information to the Facilities Manager and contribute to the preparation of reports.
  • Assist with inspections and compliance checks as directed.
  • Ensure safety and accessibility requirements are supported through day-to-day tasks.

SKILLS, EXPERIENCE AND QUALIFICATIONS

Essential:

  • Experience supporting facilities or operational services in a large, public-facing organisation.
  • Strong organisational skills and attention to detail.
  • Good written and verbal communication skills.
  • Ability to work effectively in a team environment and follow established procedures.
  • Basic understanding of WHS obligations and contractor compliance.

Desirable:

  • Familiarity with property or facilities systems such as asset registers or contractor management tools.
  • Experience working in cultural institutions or government environments.
