Description This position requires working in the Indianapolis office five days each week (Monday-Friday), with the potential for additional in-office days as needed. Responsible for building and grounds, maintenance, repairs and upgrades; repair and maintenance of office furniture and equipment; management of custodial care, security and safety. Includes management of vendors that provide building services as well as hands-on maintenance and repair. ESSENTIAL JOB FUNCTIONS: Perform needed maintenance throughout building and grounds (40%) Manage outside vendors that provide building services (10%) Attend and participate in Building Services Team meetings as requested (5%) Actively work directly with the Building Manager to identify, address and resolve facilities issues (10%) Continually look for process that will be more efficient and more sustainable for our facility (5%) Proficiently use forms process for tracking all maintenance and building setup request (10%) Manage and implement a facility preventative maintenance program (10%) Communicate with Staff and outside vendors via email, phone, and face to face (10%) OTHER JOB FUNCTIONS: Maintain the International Office building and equipment, including but not limited to HVAC systems, utilities, wiring, cabling, water services and plumbing needs; schedule and perform appropriate preventive maintenance; conduct regular inspections, take appropriate corrective action; comply with OSHA requirements; work with custodial services vendor to ensure cleanliness of building Renovate office areas and work with outside contractors as needed Maintain the International Office grounds, including but not limited to irrigation systems, landscape maintenance, parking lot maintenance and snow removal; maintenance of related equipment Maintain building and grounds safety and security systems; maintain Material Safety Data Sheets; initial contact for security and emergencies; sometimes during evenings and weekends. Work closely with vendors to obtain best price, delivery, quality, and service; obtain quotes, research and present recommendations to Building Manager for approval; follow up with vendors to resolve operational issues and ensure timely resolution; demonstrate understanding of cost effectiveness and budget constraints Provide historic information and develop expenditure forecasts for budget preparation and quarterly narratives; research and prepare recommendations for upgrades or additional equipment and services; prepare cost analysis information and recommendations; maintain five-year renovation plan Communicate with internal customers to understand needs, manage expectations, and provide status updates; ensure customer work requests are completed in a timely and courteous manner Responsible for all setup and tear down of meeting rooms for all events and meetings including building rentals. Set up and remove flags as requested; provide assistance in moving heavy objects, utilizing appropriate tools Responsible for corporate recycling program Maintain office equipment, chairs, modular office products, drawers, etc. Responsible for implementing and updating the Emergency Action Plan Back up responsibilities for Shipping/Receiving, Document Services Representative, and Document Services Assistant. All other duties as assigned, trained for, and qualified to do. Requirements Educational Requirements: Technical Training Certificate or Degree in Engineering (Mechanical or Electrical) a plus Coursework in vendor negotiations or equivalent Understanding of building code requirements Understanding of OSHA requirements Experiential Requirements: 5 years' experience in commercial building and grounds maintenance and repair, including HVAC, electrical, plumbing, and planning and completing facility changes High degree of diplomacy and tact required Ability to balance multiple priorities and work in a fast-paced environment High degree of creativityAbility to maintain positive working relationships Experience using a job ticketing system Experience with building maintenance technology such as security systems, air handling systems, etc. Required Skills: Microsoft Office Suite Products Internet Proficiency Standing, walking, kneeling, crouching Ability to climb ladders Ability to perform physical labor such as lifting, stooping, or pushing Ability to work from heights Good organizational skills Strong oral and written communication skills Good problem-solving skills Very strong attention to detail required Good math skills Good reading skills Strong mechanical aptitude Other Requirements: Experience in vendor negotiations a plus Kiwanis Family experience a plus Multilingual a plus WORKING CONDITIONS/OTHER INFORMATION: Required to be on call Some weekend and/or evening work required
