Responsibilities

ROLE PURPOSE

We are seeking a Facility Coordinator. In this role, you will be responsible for coordinating facility-related processes, handling front office tasks, and promoting safety within our organization. The ideal candidate is organized, motivated, and attentive to safety and detail.

FACILITY TASKS:

  • Supervising contractors, including issuing work permits, and ensuring contractors understand safety rules and protocols.
  • Performing inspection and quality control tasks.
  • Addressing malfunctions and creating reports.
  • Administrative management of completed maintenance and follow-up on maintenance activities.

SAFETY TASKS:

  • Ensuring adherence to safety guidelines and procedures.
  • Conducting safety inspections and risk assessments.
  • Coordinating emergency procedures and evacuation drills.
  • Reporting and following up on safety incidents.
  • Proposing and implementing improvements in safety procedures.

FRONT OFFICE TASKS:

  • Carrying out various purchasing tasks.
  • Creating, managing, and administering access cards and keys.
  • Mail handling.
  • Supporting and hosting meetings.
  • Performing various administrative tasks, such as maintaining SDS records and updating the handbook.
    Note: Although traditional receptionist / front office duties have evolved since COVID, you will be expected to occasionally man the reception desk, such as when welcoming visitors. (A full-time receptionist is present.)
