What this job involves: Provide comprehensive facility coordination services for a critical BioPharma manufacturing/research site including financial administration. Partner with property managers and cross-functional teams to ensure seamless facility operations with pharmaceutical industry standards. Manage accounting functions including invoicing, receipting, and financial reconciliation to support facility operations.

REQUIRED QUALIFICATIONS:

  • 3+ years’ experience in Facility Administration, Property Management, or Accounting/Finance roles
  • Proven experience with accounting functions including invoicing, receipting, and financial reconciliation
  • Proficiency in JD Edwards (JDE) ERP system strongly preferred
  • Advanced Excel skills with capability to create and customize financial and administrative reports
  • Experience with accounts payable processes and vendor invoice management
  • Superior customer service skills and client-focused orientation
  • Proficient in MS Office Suite with strong written, verbal and interpersonal communication skills
  • Experience working in regulated environments (pharmaceutical/biotech preferred)

PREFERRED QUALIFICATIONS:

  • Background in BioPharma, life sciences, or other regulated industry environments
  • Knowledge of pharmaceutical facility compliance requirements
  • Ability to plan and manage work under time constraints while maintaining accuracy
  • Strong multitasking abilities and capability to work independently with minimal supervision
  • Excellent organizational skills and collaborative working style
  • Experience with facility management software systems and maintenance coordination platforms

Responsibilities
  • Execute financial processes including PO creation, invoice processing, expense receipting, and reconciliation using JD Edwards (JDE) ERP system
  • Process vendor invoices and ensure accurate coding for facility-related expenses
  • Maintain detailed financial records and prepare accounting reports for facility operations
  • Assist Facility Management Team with tactical planning and budget tracking for team goals and objectives
  • Coordinate with property managers on routine operations including procurement of facility supplies and specialized BioPharma equipment
  • Help manage vendor relationships including escorting contractors through controlled access areas per BioPharma protocols
  • Support project management team with facility-specific requirements and compliance documentation
  • Coordinate maintenance activities while ensuring minimal disruption to critical BioPharma operations
  • Provide continuous monitoring of facility systems critical to pharmaceutical operations
  • Serve as primary interface with internal clients, visitors, and vendors requiring facility access
  • Ensure proper follow-up on all facility requests and maintain service excellence standards
  • Support vehicle and equipment logistics coordination as needed
