Overview For our headquarters in Geneva, we are currently looking for a Facility Coordinator who will be responsible for office management and administrative support for our CEO. Responsibilities Office & Facilities Management Manage day-to-day operations of the Geneva headquarters, ensuring a safe, functional, and well-organized office environment. Coordinate and manage vendors and contracts, including invoice handling, purchase orders, budget tracking, and service quality monitoring, including preventive maintenance and coordination of external service providers in the absence of an on-site handyman. Ensure compliance with EHS standards, Swiss regulations, and company policies, including basic safety checks and emergency readiness. Reception & Front Office Support Handle reception duties (approx. 5%), including welcoming visitors, managing calls, visitor access, and mail/courier services, in line with security and access protocols. Maintain a professional and friendly front-of-house experience for employees and guests. CEO Office & Executive Support Provide administrative support to the CEO, including travel arrangements, expense management, and meeting/offsite logistics. Act as a reliable point of contact for the CEO’s office, supporting priorities and ensuring smooth day-to-day coordination, including coordination with internal and external stakeholders when required. Qualifications Several years of experience in an international corporate environment, ideally with exposure to multi-cultural teams and global corporate standards. Fluent in French and English; Spanish is a strong plus. Strong organizational skills, attention to detail, punctuality, and flexibility, with the ability to manage multiple priorities efficiently. Proficiency in Microsoft Office tools (PowerPoint, Excel, and other digital platforms) and eagerness to quickly learn internal processes and workflows.
