Description

Reporting to the Head of School, the Business Manager will oversee key operational functions within the school, ensuring efficient management, strategic alignment, and compliance. This role involves coordinating with leadership and various departments to ensure smooth, consistent operations across financial, administrative, and operational areas.

QUALIFICATIONS

  • Education: Bachelor’s degree in accounting, finance, business administration, or a related field; CPA preferred but not required
  • Experience: Minimum of 5 years of experience in financial management, preferably in a not-for-profit or educational setting; experience in a boarding school or residential environment is a plus
  • Skills:


    • Strong knowledge of not-for-profit accounting principles and financial reporting

    • Excellent organizational, analytical, and problem-solving skills
    • Strong communication skills to interact with diverse stakeholders, including staff, parents, and board members
    • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
    • Bilingualism an asset
    • Personal Attributes: Detail-oriented, ethical, and committed to the mission of a not-for-profit educational institution. Ability to maintain confidentiality and handle sensitive financial information appropriately.
    • Certifications: CPA or similar certification is an asset but not required.

    QUALIFICATIONS

    Responsibilities
    • Financial Management: Oversee all financial operations, including budgeting, forecasting and financial reporting. Prepare annual budgets in collaboration with school leadership and ensure adherence to fiscal policies. Liaise with Program Directors and Management on a regular basis to ensure budgets are respected. Liaise with the various financial institutions for renewal of facilities and new loan applications.
    • Accounting and Bookkeeping: Oversee the management of accounts payable/receivable, payroll and general ledger. Ensure compliance with accounting standards and the accuracy of financial reporting. Liaise with the auditors to finalize accounts for approval of the Board of Directors.
    • Advancement Support: Collaborate with the advancement team to track restricted funds and ensure compliance with donor requirements. Provide oversight and guidance in the preparation of financial reports related to fundraising initiatives and alumni giving efforts.
    • Tuition and Billing: Oversee the tuition billing process, including financial aid and payment collections. Provide guidance to ensure payment plans are handled effectively and in a manner that aligns with school policies.
    • Human Resources: Oversee the administration of employee benefits, payroll and personnel records. Ensure that the hiring process aligns with school policy and work with leadership to ensure that staffing needs are met efficiently.
    • Vendor and Contract Management: Negotiate and manage contracts with vendors, suppliers and service providers, ensuring cost-effective agreements for campus operations, including food services, maintenance and transportation.
    • Facility Operations Support: Work closely with the Head of Facilities to oversee budgeting for campus maintenance, repairs, and capital projects for academic buildings, residences, and other school facilities.
    • Risk Management: Maintain appropriate insurance coverage (e.g. liability, property and workers’ compensation) and implement risk management strategies to protect the school’s assets and community.
    • Board Support: Prepare financial reports and presentations for the Board of Trustees. Attend board meetings as needed to provide updates on financial health and operational matters.
    • Strategic Planning: Collaborate with school leadership to develop long-term financial and operational strategies, ensuring alignment with the school’s mission and goals.
