Description

Under the general direction of the Director of Operations, this position supports the Office of the Provost with faculty processes including data and reporting, contracts, appointments, and records. The Faculty Affairs Analyst manages the adjunct payroll process (FLAC) to include training and support for adjunct coordinators within the colleges. This position is a member of the administrative team within the Office of the Provost.

QUALIFICATIONS

  • Must have knowledge to perform bookkeeping functions consistent with standard accounting and bookkeeping procedures.
  • Must have knowledge of financial budgeting and analysis to develop reports for the Office of the Provost.
  • Must have computer proficiency in Excel including: building worksheets and workbooks, using formula functions, formatting worksheets for formal reports, creating charts, creating and managing linked workbooks, analyzing data using pivot tables, performing what-if analysis, and sharing information and graphics between Microsoft programs.
  • Must have word processing proficiency to produce basic correspondence and financial reports.
  • Must be able to research and extract data from Banner.
  • Must be able to manage complex budget items in detail and with accuracy.
  • Must be able to manage multiple tasks and priorities with frequent interruptions.
  • Must be able to maintain confidentiality of sensitive information.
  • Must be able to work independently and thrive in an environment of hard work.
  • Must possess strong oral and written communication skills.

EDUCATION

Bachelor’s degree required, with sufficient academic or professional experience to provide knowledge and skills required for this position. Master’s degree preferred.

EXPERIENCE

Four years minimum professional experience in budget management and financial data analysis.

Responsibilities
  • Coordinate payroll submissions for academic areas: Facilitate the FLAC process for adjunct & lecturer compensation; review and submit faculty supplemental pay requests, including overload and summer school compensation; provide training materials & sessions for Adjunct Coordinators
  • Organize, enter, update, and maintain full-time faculty data in Banner and hard copy, including verification of academic credentials for all faculty. Liaise with colleges on faculty data at time of hire, promotion, sabbatical, and other milestones in faculty career..
  • Manage faculty and staff supplemental payroll processes for positions reporting through the Office of the Provost. Oversee and evaluate monthly payroll including serving as the Banner Faculty Load and Automated Compensation (FLAC) module administrator. Monitor faculty, staff and graduate teaching assistant payroll budgets.
  • Faculty data management & analysis: provide faculty data for routine and ad-hoc requests; responsible for on-going audit and analysis for faculty data and workload to ensure data integrity for day-to-day processes and reporting purposes.
  • Assist Director of Operations with annual faculty contract process: develop contract spreadsheets; review & audit of contract language; create & distribute annual contracts.
  • Support Faculty Senate & Tenure, Promotion & Leave committee efforts: schedule meeting spaces, coordinate meeting logistics, and facilitate TPL portfolio process.
  • Manage faculty annual review process. Act as liaison between colleges and software company. Train faculty and work with company to develop workflow processes.
  • Serve on administrative team for Office of the Provost, providing reception, logistic, and academic event support as needed
