We are recruiting for a Program Associate to provide administrative duties and support to the Family and Preschool Services departments in accordance with stated policies and procedures of the agency in order to ensure its effective and efficient operation. Thisdepartment is responsible for providing support to children, youth and families in our Infant and Child Development, EarlyON Child and Family Centres, Ontario Autism, Entry to School Program, Family Support, Youth and Family Home programs. The Family and Preschool Services Program Associate will provide support to 1 Manager, 2 Supervisors and front-line staff as required. This is a 12-month contract position.

MINIMUM REQUIREMENTS FOR THIS POSITION INCLUDE:

  • Community College Diploma in Office Administration or equivalent knowledge and experience as deemed acceptable by the Agency;
  • Minimum of three (3) years recent full-time work experience in an administrative position, preferably in the social services field;
  • Above average knowledge in the use of business applications such as Microsoft Office computer applications;
  • Strong interpersonal skills with excellent written and verbal communication;
  • Detail oriented with exceptional organizational, multi-tasking, and time management abilities;
Responsibilities
  • Utilizing excel to create and maintain spreadsheets for tracking data to assist in identifying trends and summarizing data for inclusion in reports;
  • Liaison with different departments in providing appropriate distribution of documentation;
  • Review current processes and brainstorm with team to create efficiencies within the program;
  • Receiving and directing all incoming calls, receiving and directing all inquiries and appointments, booking of meeting rooms and equipment, sorting and distributing incoming mail;
  • Create operational guidelines on PolicyTech regarding job related duties and assist Manager(s) as required;
  • Assist with booking rooms and planning program and department events;
  • Open electronic records in AIMS and Goldcare databases for Infant and Child Development and Family Support programs;
  • Tracking monthly documentation for Family Home Program and assisting manager with statistical reports for the EarlyON Child and Family Centre;
  • Assist with intake and referral duties for the Infant and Child Development and Family Support and Youth Programs;
  • Prepare intake packages for Infant and Child Development and Family Support and Youth Programs;
  • Provide general administrative support to department;
