SUMMARY Under general supervision, the Family Connect Coordinator plays a vital role in supporting families by helping them navigate services, understand disabilities, and advocate effectively for their children. This position serves as a liaison between families, schools, and community partners to ensure that families are well-informed, empowered, and connected to appropriate resources. The Coordinator also manages communications and logistics for Family Connect webinars and events while providing essential administrative and clerical support to program leadership. ESSENTIAL DUTIES AND RESPONSIBILITIES The duties and responsibilities of the Family Connect Coordinator will include but are not limited to the following: Cultivates collaborative relationships with community partners, schools, and stakeholders to strengthen family engagement and access to resources. Ensures the confidentiality of all information related to children, families, and program operations in accordance with agency policy and applicable regulations. Facilitates and moderates virtual sessions, providing translation services as needed to ensure accessibility for all families. Designs and distributes family communications, including flyers, newsletters, and email announcements; ensures printed materials are delivered to appropriate program sites. Coordinates schedules, logistics, and communications for Family Connect webinars, workshops, and special events. Serves as a liaison between Family Connect and program leadership, supporting effective communication, follow-up, and alignment of program initiatives. Collects and organizes wish lists from program sites; places and tracks vendor orders; reconciles purchases and maintains accurate financial records. Assists the Director in ordering and distributing supplies for schools and SHARE Libraries. Coordinates with the Accounting Department to monitor purchases and ensure timely follow-up on all financial requests. Communicates with Program Directors and administrative support staff regarding requisitions, specifications, and urgent supply or vendor needs. Prepares vendor payment requests and ensures timely processing through Accounting and Purchasing Departments. Reviews all requisitions and purchase documentation for accuracy, including proper account and budget code verification. Maintains compliance documentation and records for contract-related expenses and reporting. Prepares, tracks, and monitors account reconciliations for contracts and related program budgets. Collects, compiles, and analyzes data for the preparation of reports and presentations. Acts as a liaison between departments to support reconciliation of expenses, accounts receivable, and audit-related inquiries. Performs other related duties as requested. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. At least three years of related experience in family services, education, human services, or administrative support preferred. Excellent written and verbal communication skills, with the ability to connect with and engage diverse audiences. Ability to read, write, speak, and understand English. Excellent organizational and time management skills with the ability to handle multiple priorities and meet deadlines. Strong interpersonal skills necessary to interact effectively with coworkers, program staff, families, and external partners. Proficiency in the use of a computer and standard office software, including Microsoft Excel, Word, and Outlook. Strong analytical and problem-solving skills with a high level of attention to detail and accuracy. Ability to gather data, compile information, and prepare final reports, including those required by the Department of Education or other regulatory agencies. Good mathematical skills with the ability to perform basic accounting and reconciliation tasks. Ability to work independently, take initiative, and exercise sound judgment in decision-making.
